EXPERIENCE SUBSTITUTION: Every 15 semester hours earned from an accredited college or university will be credited as six months of experience. The official job specifications for this role, as defined by the State Civil Service, can be found here.Job Duties:
- Provides prompt, professional, and courteous customer service by answering a high volume of telephone inquiries regarding vital records services, fees, eligibility, disclosure requirements, and applicable Louisiana laws.
- Provides advanced technical assistance regarding vital record amendments by researching complex inquiries, explaining correction procedures and documentation requirements, and determining when matters require escalation.
- Utilizes the Louisiana Electronic Event Registration System (LEERS) to research records, process cases, verify application and amendment status, document customer interactions, and ensure timely routing of requests.
- Assists walk-in customers and processes vital record requests by reviewing identification, determining legal authority to access confidential records, verifying fees and payments, and routing incomplete or eligible requests for processing.
- Processes and reviews vital event registrations, including birth, death, fetal death, marriage, and divorce records, identifying discrepancies and communicating with hospitals, physicians, funeral homes, clerks of court, and other record originators to resolve issues.
- Issues, accepts, and records marriage licenses in accordance with Louisiana laws and regulations; provides technical assistance to clerks of court, officiants, judges, clergy, and the general public.
- Provides training and mentorship to newly hired staff on customer service standards, telephone etiquette, LEERS navigation, call handling procedures, and Vital Records policies and procedures; assists with inventory, records management, mail processing, and other departmental activities.
