Job Summary:
The HR Administrative Professional provides administrative and operational support to the Human Resources team by maintaining employee records, supporting payroll and benefits administration, coordinating recruiting and onboarding activities, and ensuring accurate data management. This role maintains compliance with company policies, regulatory requirements, and recordkeeping standards. The ideal candidate is highly organized, detail-oriented, maintains confidentiality, and thrives in a fast-paced environment.
Roles and Responsibilities:
Print, scan, file, and maintain employee time-off requests and related documentation.
Track employee vacation and paid time off (PTO) balances.
Respond to employee inquiries regarding vacation and PTO balances.
Enter new hire information into company software and other applicable HR systems.
Complete benefits cost center coding and maintain related records.
Conduct routine benefits audits to ensure accuracy of employee enrollments and deductions.
Assist with benefits administration and employee benefit-related inquiries.
Scan, file, organize, and maintain employee personnel records in accordance with company policies and retention requirements.
Coordinate and schedule candidate phone screens, interviews, and other recruiting activities.
Assist with onboarding activities, including preparation and collection of new hire paperwork.
Prepare and process employment verification requests.
Assist with the distribution, collection, and tracking of employee communications, acknowledgements, and policy updates.
Maintain and track employee licenses, certifications, credentials, training records, and other required compliance documentation.
Prepare, update, and maintain HR reports, spreadsheets, and employee databases.
Ensure the accuracy and confidentiality of employee records and HR information.
Provide administrative support for employee events, training programs, and HR initiatives.
Assist with payroll and HR administrative tasks as assigned.
Support compliance efforts related to federal, state, and company requirements.
Maintain inventory of HR forms and office supplies.
Assist with special projects, audits, and departmental initiatives as needed.
Comply with all company safety policies, procedures, and applicable regulations while maintaining a safe, clean, and professional work environment. Promptly report hazards, incidents, and unsafe conditions to help protect employees, customers, and company property.
Perform other duties as assigned by supervisor.
Minimum Requirements:
Minimum of 5 years of administrative experience required; human resources, payroll, or benefits administration experience preferred.
Strong computer skills, including Microsoft Office Suite (Outlook, Word, Excel, and Teams).
Experience working with HRIS, payroll, benefits, or enterprise software systems preferred.
Excellent attention to detail and organizational skills.
Strong verbal and written communication skills.
Ability to maintain confidential and sensitive information with professionalism and discretion.
Ability to prioritize multiple tasks and meet deadlines in a fast-paced environment.
Strong customer service and interpersonal skills.
Ability to work independently and collaboratively as part of a team.
Valid driver's license
Preferred Requirements:
High school diploma or equivalent required; Associate's degree in Human Resources, Business Administration, or a related field.
Physical Requirements:
Prolonged periods of sitting and working at a computer.
Regular use of office equipment, including computers, printers, scanners, telephones, and copiers.
Ability to communicate effectively in person, over the phone, and through electronic communication.
Ability to move throughout the office and access various departments and work areas.
Frequent reaching, handling, keyboarding, and repetitive hand movements.
Ability to bend, stoop, kneel, and reach to retrieve and file documents.
Visual ability to read printed materials, computer screens, and detailed documentation.
