Responsibilities

Position Overview: T he Event and Resource Coordinator is responsible for planning, coordinating, and executing fundraising events and volunteer-driven initiatives that support the mission and operations of the Corps. This role focuses on stewarding resources of time, talent, and treasure by engaging volunteers, donors, sponsors, and community partners in meaningful and effective ways. Lead volunteer recruitment, scheduling, training, and retention efforts, including oversight of court-mandated volunteer programs and large-scale seasonal campaigns such as the Red Kettle Campaign.

Description of Position:

  • Represent The Salvation Army at all times with grace, professionalism, and a welcoming demeanor.

  • Assist the Officer Manager with greeting all visitors and answer incoming phone calls. Provide accurate information or direct inquiries to the appropriate staff member without assuming duties assigned to others.

  • Oversee all aspects of fundraising events from planning through post event evaluation. This includes venues, timelines, staffing, volunteers, sponsorships, participant management, attendance lists, communications, day of event execution, and post event reporting and recaps

  • Develop, manage, and support event committees, including maintaining rosters, calendars, meeting schedules, and follow up communications

  • Oversee the development and coordination of graphics, printed materials, and online platforms used to support fundraising events and campaigns.

  • Track and report fundraising progress and prepare summaries and updates for funders, the Advisory Board, Corps Council, and Corps Officers

  • Represent the Corps at approved community events and outreach opportunities. Work with Corps Officers and assigned staff to provide oversight of the annual Red Kettle Campaign, including site coordination, volunteer scheduling, kettle workers, driving logistics, counting and deposits, recordkeeping, and site sponsorships.

  • Oversee all activity associated with volunteers, including the Court-Mandated Volunteer Program, Diversion Programs, and the Probation Office. Ensure individuals are scheduled appropriately, volunteer hours are accurately tracked, and required reports are submitted to the correct courts in a timely manner using the approved volunteer program.

  • Lead volunteer recruitment, training, and retention efforts by developing and implementing a volunteer engagement strategy that expands and diversifies the volunteer base. While ensuring compliance with Salvation Army volunteer management policies and procedures.

  • Oversee volunteer scheduling for fundraising events and high impact programs to ensure proper coverage and support across departments.

  • Coordinate with Salvation Army staff to identify and meet departmental volunteer needs.

  • Maintain a complete and accurate volunteer database using approved Salvation Army volunteer management systems and related software. Prepare volunteer records for audits or reviews while maintaining strict confidentiality.

  • Manage volunteer-related statistical reports and required documentation.

  • Develop, plan, and implement volunteer and donor recognition efforts, including thank you calls, written acknowledgments, recognition events, and appropriate media engagement.

  • Maintain regular communication with the Community Relations and Development Director and Corps Officers regarding planning, progress, and concerns.

  • Maintain strict confidentiality of all information at all times

  • Perform other duties as assigned or necessary to support Corps operations.

Qualifications

Requirements:

  • H igh school graduate; some college or professional fund-raising experience required.

  • Highly skilled in Microsoft Office Suite, utilizing Word for correspondence and policy documents, Excel for budget tracking and reporting, and Outlook for efficient scheduling and communication coordination."

  • Good administrative and organizational skills along with good oral and written communication skills.

  • Pennsylvania's Child Protective Services Law requires that all prospective employees complete the following clearance and background checks: PA Child Abuse History Clearance, PA State Police Criminal Record Check, and PA DHS Criminal Record/Fingerprint Check. In addition, completion of a Pennsylvania approved Child Abuse Recognition and Reporting Training is necessary prior to employment.
