Position Details

General Statement

CatCard (http://www.montana.edu/catcard/) , part of the Auxiliary Services Enterprise, provides an essential identification and access management system to campus using innovative technology to deliver convenience, access, statistical data, and security. The CatCard serves as the University photo identification card and supports MSU ID card systems.

Duties and Responsibilities

Reporting to the CatCard Manager, the CatCard Systems Specialist provides advanced technical knowledge of all software, hardware, and equipment of the university’s ID card system and the programs it supports.

  • Assists with maintaining the system, database, and associated hardware/firmware.

  • Maintains campus-wide access control via door unlock schedules and patron access assignments in accordance with department requests.

  • Installs, troubleshoots, inventories, and maintains hardware (card printers, POS systems, access equipment, etc.).

  • Assists with planning, coordinating, and prioritizing system maintenance activities, including software upgrades, server & database maintenance, and system configurations to ensure rapid response to system faults and technical issues to minimize downtime and maintain consistent, reliable campus services.

  • Maintains meal plans, declining-balance plans, and other purchase types in varying databases and systems in accordance with the home department’s program guidelines.

  • Performs regular maintenance of data to ensure integrity of the system.

  • Provides timely customer service assistance via email, phone, or at the customer service window:

  • Answers questions related to CatCard programmatic offerings such as Get Funds, Commuter Meals Plans, etc.

  • Educates CatCard holders and other constituents about the I.D. program, its offerings and benefits.

  • Works as a back-up at the customer service window and performs related cash handling duties.

  • Produces CatCards, name-tags, badges, etc

  • Manages special card production (i.e. Conference Access, Contractor/Vendor Access, etc.)

  • Assists the CatCard manager with Orientation sessions including online photo submission review and mass-producing cards.

  • Collects, reviews, and analyzes complex financial and operational data, including CatCash transactions, deposits, and reconciliations; facilitate internal and external fund transfers, investigate discrepancies, and produce invoices and reports.

  • Performs a wide variety of administrative duties in support of the department such as monitoring the CatCard email account, producing ad-hoc usage reports, regular inventory counts, finalizing student and employee access requests, reviewing/updating website content, maintenance of policy and procedural manuals, etc.

  • As assigned, acts as a project manager and point of contact to provide expansion of ID Card services and offerings across campus.

  • Asked to focus on smaller projects including site-walks and blueprint review.

  • Works directly with contractors and vendors.

  • Collaborates with the manager to suggest, develop and implement short- and long-term innovative enhancements to the CatCard system’s features, functionality, and user interface.

  • Responsible for managing the inventory of equipment and supplies (orders, receives, etc.).

  • Provides functional user training on updates and maintenance of credit card terminals for Auxiliary Services.

  • Includes programming, training, issuing, and inventory of Auxiliary Services’ credit card terminals.

  • Auxiliary Services’ liaison for PCI training completion list for Auxiliaries in coordination with MSU’s PCI representative.

  • Speaks on the CatCard Manager’s behalf in their absence.

  • Occasionally asked to be available to react to after-hours support needs for campus.

  • Contributes to the success of the department by performing other duties as needed in support of the department’s mission.

Required Qualifications – Experience, Education, Knowledge & Skills

  • Progressively responsible administrative experience or an equivalent combination of relevant education and experience.

  • Substantial and proficient experience using computers and various software packages and equipment.

  • Experience fostering and maintaining effective working relationships with varied constituents using appropriate interpersonal communication skills.

  • Experience developing and/or communicating procedures, policies and guidelines to others.

  • Experience generating reports and analyzing financial and operational data.

Preferred Qualifications – Experience, Education, Knowledge & Skills

  • Experience with university OneCard Systems (e.g. Atrium, Transact, CBORD ).

  • Experience with project management.

  • Experience operating electronic access control, or other low voltage, hardware.

  • Basic cash handling experience including knowledge of reconciling procedures.
