Full job description

Description We are looking for an experienced Workplace Experience Coordinator - Level 2 to support day-to-day front desk and workplace services in New Jersey. This long-term contract position is ideal for someone who enjoys creating a welcoming environment for employees, guests, and vendors while keeping site operations organized and responsive. The person in this role will help manage visitor interactions, workplace requests, events, and service coordination with a strong focus on clear communication and attention to detail.

Responsibilities:

  • Welcome employees, visitors, and service providers at the front desk, maintain a detail-focused presence, and manage check-in procedures in line with site security expectations.

  • Prepare and distribute visitor credentials and parking access while ensuring building entry requirements are followed consistently.

  • Coordinate workplace support activities such as mail handling, office supply requests, and onboarding arrangements for new team members.

  • Submit, monitor, and follow up on janitorial and maintenance requests to help maintain a safe and well-functioning office environment.

  • Respond to questions, concerns, and service issues from building occupants and guests, offering timely resolutions with a customer-focused approach.

  • Plan and support on-site meetings and events by arranging space, organizing room setup and breakdown, and confirming delivery of required materials.

  • Schedule dining, recreational, and business-related arrangements on behalf of internal requesters with accuracy and attention to logistics.

  • Work closely with external vendors to ensure services and deliveries are completed properly and aligned with workplace needs.

  • Follow building emergency and safety procedures, escalating concerns to the appropriate contacts to protect occupants and visitors.

  • Create basic communications or presentation materials and share clear information with team members and guests as needed. Requirements • High school diploma or equivalent and up to 2 years of related experience in front desk, workplace support, or customer service functions.

  • 2-4 years of experience supporting office operations, guest services, or administrative coordination.

  • Ability to follow established procedures, routines, and detailed instructions while completing daily tasks accurately.

  • Strong verbal and written communication skills with the ability to provide clear, straightforward information.

  • Working knowledge of Microsoft Office applications, including Word, Excel, and Outlook.

  • Solid organizational skills with the ability to manage multiple requests and priorities in a fast-paced setting.

  • Strong customer service approach with sound judgment when handling inquiries, complaints, and visitor interactions.
