Full job description

Job Summary: The Project Coordinator is responsible for maintaining the accuracy, organization, and traceability of all project documentation across the construction lifecycle. This role acts as the central point of control for drawings, submittals, RFIs, change orders, permits, and closeout documentation, ensuring the project team, subcontractors, and clients are always working from current, approved information. The ideal candidate is highly organized, detail-oriented, and comfortable managing high volumes of documentation across multiple concurrent projects.

Responsibilities:

  • Maintain the Sharepoint for drawings, specifications, submittals, RFIs, change orders, meeting minutes, and correspondence

  • Enforce document revision control — ensure only current, approved versions are distributed and superseded documents are archived, not deleted

  • Manage document distribution to field crews, subcontractors, and consultants, confirming acknowledgment of receipt

  • Maintain consistent file naming conventions and folder structures across shared drives, and project management software

  • Track submittal status (pending, in review, approved, rejected, resubmit) and flag items at risk of delaying procurement or installation

  • Log and monitor RFI turnaround times, escalating overdue responses to the Project Manager

  • Maintain change order and change directive logs, cross-referencing cost and schedule impacts

  • Produce weekly/biweekly status reports summarizing open items, upcoming deadlines, and document aging

  • Track permit and inspection documentation, ensuring approvals are logged and accessible before dependent work proceeds

  • Liaise between field teams, project managers, subcontractors, and clients to resolve documentation gaps or discrepancies

  • Support project closeout by compiling as-builts, O&M manuals, warranties, and punch list documentation into a complete closeout package

  • Attend project meetings to capture action items and ensure they are logged and tracked to completion

  • Support scheduling and resource-tracking efforts by keeping documentation aligned with current project milestones

  • Maintain project data within project management/document control software (e.g., Fieldwire, Procore, PlanGrid, Bluebeam, SharePoint, or equivalent)

  • Build and maintain tracking spreadsheets/dashboards for document status, submittal logs, and RFI logs

  • Support audits by ensuring documentation is complete, accurate, and easily retrievable

  • Other duties as assigned

Required Qualifications:

  • 1–3+ years of experience in construction project coordination, document control, or administrative support on construction/infrastructure projects

  • Strong working knowledge of construction documentation types (submittals, RFIs, change orders, drawings/specs, closeout packages)

  • Proficiency in Excel (formulas, tracking logs, pivot tables) and document/project management platforms (Fieldwire, Procore, Bluebeam, SharePoint, or similar)

  • Excellent organizational skills with high attention to detail and accuracy

  • Strong written communication skills for logging, distributing, and summarizing documentation

  • Ability to manage competing deadlines across multiple active projects

  • Experience with low-voltage, security systems, or specialty subcontractor coordination is a plus

Preferred Qualifications:

  • Familiarity with construction or material delivery tracking workflows

  • Experience building or maintaining custom tracking tools/dashboards

  • Working knowledge of construction scheduling concepts (critical path basics, milestone tracking)

Physical Demands:

  • Must be able to effectively communicate in English, (ie see, hear, speak and write clearly) in order to communicate with colleagues and/or customers

  • Manual dexterity required for occasional reaching, lifting of light office objects, and operating office equipment

  • Sitting, standing, walking in office environments and construction sites

  • The employee must occasionally lift and/or move up to 50 pounds and may be required to work at heights over 1.8m (6 feet)

Working Conditions:

In general, the following conditions of the work environment are representative of those that an employee encounters while performing the essential functions of this job.

  • The office is clean, orderly, properly lighted and ventilated. Noise levels are considered low to moderate

  • Will be required to be on site with customers or contractors, with or without Bosch Building Technologies colleagues to manage the expectations and deliverables. Sites range from general office environments to new construction.

  • Driving to customer sites is required

  • Limited overnight travel may be required

Pay Range

$85,000.00 - $125,000.00
