Full job description

Accounting & Office Manager Location: Choteau, MT | Great Falls, MT flexibility Compensation: $90,000–$105,000 + Annual Bonus

About the Opportunity We are partnering with an established land surveying and civil engineering firm to hire an Accounting & Office Manager to join its close-knit, seven-person team. This is a newly created position and an important hire for the organization. The Accounting & Office Manager will work directly with the owner and take ownership of the company's day-to-day accounting, financial administration, and office operations.

Because this is a small business, this position offers considerably more variety and visibility than a traditional accounting role. The successful candidate will have the opportunity to understand the entire operation, build and improve processes, and become a trusted resource to the owner and broader team.

This opportunity is best suited for someone who enjoys autonomy, takes initiative, and is comfortable wearing multiple hats within a small-company environment.

Location & Schedule The company's primary office is located in Choteau, Montana, with additional office flexibility available in Great Falls. The individual will spend meaningful time in the Choteau office, particularly while learning the business and integrating with the team. As the role develops, there is flexibility to work approximately two days per week from the Great Falls office, creating an attractive option for candidates who live in or around Great Falls.

Key Responsibilities

  • Manage day-to-day accounting activities, including accounts payable and accounts receivable
  • Oversee customer billing and invoicing
  • Manage payroll processes
  • Lead monthly financial close activities
  • Perform project accounting and job-cost analysis
  • Track project budgets and costs against established parameters
  • Manage collections and improve outstanding accounts receivable
  • Address and reduce unbilled work while establishing consistent billing procedures
  • Develop cash-flow forecasting and budgeting processes
  • Prepare and organize financial reporting for ownership
  • Evaluate company expenses, vendor relationships, and operational costs
  • Identify opportunities to improve financial and administrative processes
  • Assist with the company's future transition from QuickBooks Desktop to a more modern accounting/ERP platform
  • Support general office-management and administrative needs as required
  • Partner directly with the owner on financial and operational initiatives

What We're Looking For

  • 5+ years of accounting, bookkeeping, office-management, or related experience preferred
  • Hands-on experience with accounts payable, accounts receivable, billing, payroll, and monthly close
  • Experience with project accounting, job costing, or cost tracking strongly preferred
  • Strong Microsoft Excel skills
  • Experience with QuickBooks or a comparable accounting platform
  • Ability to independently manage priorities and deadlines
  • Strong organizational skills and attention to detail
  • Comfortable creating processes and structure where formal procedures may not currently exist
  • Practical, hands-on approach to problem solving
  • Strong communication skills and the ability to work directly with ownership
  • Bachelor's degree in Accounting preferred; equivalent professional experience will also be considered

Experience within engineering, construction, manufacturing, automotive/mechanical, real estate, professional services, or another project-based business may translate particularly well to this position.

The Environment This is a seven-person organization, and candidates should understand what comes with working for a company of this size. There are no layers of departments or narrowly defined responsibilities. Team members know one another, work closely together, and step outside of their traditional responsibilities when the business needs it.

The owner maintains a relaxed, approachable, and hands-off management style. The right person will be trusted to take ownership of their responsibilities, make recommendations, and independently move initiatives forward. For someone who enjoys being close to the business and seeing the direct impact of their work, this environment offers a level of visibility and ownership that is difficult to find in a larger organization.

Compensation & Benefits

  • Base salary: $90,000–$105,000
  • Annual company performance bonus: Generally targeted at approximately 5–10%
  • Employee health insurance premium 100% paid by the company
  • HSA available
  • Family healthcare coverage may be negotiable as part of the overall compensation package
  • 401(k) with company match
  • Paid time off
  • Seven major paid holidays
  • Great Falls office flexibility

Who Will Thrive Here? Someone who wants more than a narrowly defined accounting position. The ideal candidate will enjoy being the go-to person for the financial and administrative side of a small business, working directly with ownership, solving problems independently, and helping create better ways of operating.

If you value autonomy, variety, direct impact, and the opportunity to truly own your function, this could be an excellent next step. We look forward to your application!
