Position General Responsibilities:

This position is responsible for various duties performing as an assistant to licensed agents in

Stockman Insurance.

Education, Experience and Certification Requirements

Note: Only minimum responsibilities are listed. Other responsibilities may be required as

requested by management.

Minimum Qualifications:

  1. High School diploma or equivalency.

  2. Strong communication and organizational skills.

  3. Must be able to work independently and to prioritize multiple tasks.

  4. Exceptional attention to detail and commitment to accuracy.

  5. Good interpersonal/team skills with ability to develop effective working relationships.

  6. Experienced in computer applications to include Microsoft Word, Excel, Outlook, etc.

Preferred:

  1. Experience with CRMs or other data management systems. Experience specifically with Salesforce and/or Applied Epic a plus.

  2. Degree in business, computer science, information systems, or related field.

  3. Experience in insurance industry and/or relevant training.

  4. Current insurance license or ability to obtain.

  5. Strong knowledge of insurance terminology.

Position Specific Responsibilities, Duties and Competencies

  1. Database Upkeep:
  • Enter into database and update client demographics, policies, policy changes, and other information as appropriate.

  • Scan and attach in database relevant documents from client files.

  • Attach in database other documents from client and carrier communications as appropriate.

  • Update carrier information and contacts as needed.

  • Stay up-to-date on carrier plans and add/update product information accordingly.

  • Contact carriers by phone or email as needed for policy numbers, application status, and any other information necessary to maintain database integrity.

  • Update agent information as needed, to include licensing and CE info.

  • Communicate appropriately with colleagues to obtain information needed in database that may be missing from provided documents.

  • Organize and update shared drive as needed.

  1. Database Management
  • Pull reports, mailing lists, and other key information from database upon request, assisting with selection of the correct parameters to obtain desired results.

  • Efficiently move/copy data from one database to another when necessary.

  • Assist with development of automated workflows and other efficiency/productivity drivers.

  • Make or request minor programming changes as able to contribute to efficiency and productivity goals.

  • Contribute to team meetings and discussions promoting improvements in processes and procedures.

  • Assist with implementation of new/updated processes and procedures.

  • Document all changes made to database functionality and standard procedures/workflows and distribute to staff as appropriate.
