Full job description

Description We are looking for a compassionate and highly organized Administrative Assistant/Case Manager to support formerly homeless adults in a Contract position based in San Francisco, California. This role blends hands-on tenant support, administrative coordination, and field-based case management, requiring someone who is confident using computer systems, delivers excellent customer service, and is comfortable traveling locally for tasks such as mail runs and tenant outreach. The ideal candidate can build trust with residents, manage documentation accurately, and respond calmly in a fast-paced community setting.

Responsibilities:

  • Oversee an assigned group of tenant cases, providing consistent support focused on housing stability, well-being, and progress toward individual goals.

  • Perform in-person outreach and follow-up visits at move-in, during the early months of tenancy, and whenever additional support is needed.

  • Complete assessments, document services, and maintain accurate case records from intake through file maintenance and archiving.

  • Help residents secure and maintain public benefits, stay current on rent obligations, and address barriers that may affect successful tenancy.

  • Coordinate with property staff during unit checks, pest control visits, and habitability follow-up to help resolve apartment-related concerns.

  • Connect tenants with community resources such as healthcare, behavioral health, and employment services, and encourage successful participation in those programs.

  • Organize and support resident activities, group events, and community-building efforts in partnership with colleagues, property teams, and tenants.

  • Respond to urgent tenant situations with professionalism, including crisis support, de-escalation, and timely communication with supervisors or external partners when required.

  • Assist with operational support tasks such as check distribution days, appointment coordination, email communication, data entry, and local administrative errands including mail runs.

  • Work collaboratively with internal departments and outside providers while safeguarding confidential information and reporting concerns such as suspected abuse or neglect according to policy. Requirements • Demonstrated experience in administrative support, case management, social services, or a related client-facing role.

  • Strong computer proficiency, including Microsoft Word, Excel, Outlook, and PowerPoint, along with accurate data entry skills.

  • Excellent customer service and communication abilities, including clear and effective phone and email correspondence.

  • Ability to manage multiple priorities, maintain organized records, and schedule appointments in a detail-oriented manner.

  • Comfortable working in the field in San Francisco, California, including walking locally to complete outreach or administrative tasks.

  • Ability to support individuals facing mental health, substance use, medical, or housing-related challenges with empathy and sound judgment.

  • Capable of handling stressful or crisis situations calmly and using effective de-escalation techniques.
