Required Qualifications: Applicants must specifically address how they meet these required qualifications to meet the requirements of the position.

  • Knowledge of software licensing models, software products, licensing agreements and contracts, vendor requirements, hardware and software purchasing, contract renewals, receiving processes, P-card procedures, and software asset-management practices.

  • Knowledge of applicable university, state, and system procurement policies and procedures; contract-review workflows; and database, reporting, spreadsheet, and ticketing systems.

  • Skill in organizing and analyzing contract, renewal, participation, spending, and licensing data; preparing accurate reports; maintaining detailed records; and managing multiple deadlines.

  • Skill in clear written and verbal communication, customer service, stakeholder coordination, vendor communication, problem solving, and reconciliation of purchasing and receipt documentation.

  • Ability to interpret and apply software agreements, contract terms, and procurement requirements; initiate and track IT Procurement Requests; confirm deliveries; process goods and service receipts; reconcile P-card transactions; and prepare contract and renewal reports.

  • Ability to maintain participation, contract, renewal, and license records; coordinate purchasing activities across stakeholders; communicate requirements and status clearly; and escalate complex contractual, compliance, or financial issues appropriately.

Job Description

Coordinates software licensing, IT purchasing and contract renewal activities for the IT Division. Maintains participation lists, licensing and renewal records, procurement documentation, receiving records, and contract and renewal reports. Works closely with product stakeholders, IT Procurement, vendors, and system partners to support compliant, cost-effective acquisitions, timely renewals, and accurate delivery and payment processing.

Job Duties

  • Maintain and validate software participation lists for purchasing, including eligible departments, users, license quantities, funding information, and participant changes.

  • Track and coordinate upcoming software contracts, product renewals, and licensing deadlines; obtain stakeholder decisions and complete renewal actions within required timeframes.

  • Purchase hardware and software for IT in accordance with approved requirements, funding, procurement policies, and licensing terms.

  • Coordinate with product stakeholders, departments, system partners, and vendors to clarify requirements, communicate licensing and purchasing status, and resolve routine issues.

  • Initiate IT Procurement Requests for contract review and coordinate required documentation, approvals, and follow-up with IT Procurement, Legal, vendors, and stakeholders.

  • Confirm vendor receipts and deliveries; process goods receipts and service receipts for hardware, software, maintenance, and related IT services.

  • Serve as a P-card holder and coordinate approved IT purchases, reconciliation, receipt documentation, and timely submission of required records.

  • Prepare and maintain contract and renewal reporting, including status, upcoming deadlines, participation, spending, and compliance information.
