About the role:

We are seeking a seasoned Executive Assistant to provide dedicated, high-level support to our EVP, Software. As the Executive Assistant, you will play a vital role in facilitating smooth operations and enabling effective decision-making within the organization.

The successful candidate will bring exceptional organizational judgment, excellent communication skills, and strong attention to detail. This role requires utmost professionalism, confidentiality, and the ability to manage competing priorities without losing the thread on any of them.

As the Executive Assistant, you will be the primary point of contact for the EVP's office, working across leadership, the wider executive administrative community, employees, customers, and external partners. Prior experience supporting an executive inside a large, matrixed, global technology company is essential.

LOCATION: Candidates based in San Diego, CA are welcome to apply. This is a hybrid role, requiring both onsite work in San Diego as well as travel, up to 25% of time. Onboarding for new hires is conducted in-person in our Los Altos, CA office.

What you will do:

  • Own sophisticated calendar management for the EVP, prioritizing inquiries and requests, resolving conflicts, and making judgment calls on what gets time and what doesn't.
  • Manage complex domestic and international travel end to end, including last-minute changes, and keep stakeholders informed when plans shift.
  • Prepare and edit correspondence, briefing materials, reports, and presentations, ensuring accuracy and professionalism in everything that leaves the EVP's office.
  • Act as the primary point of contact for internal and external inquiries on behalf of the EVP, including matters of a highly confidential or critical nature, determining the appropriate course of action, referral, or response.
  • Coordinate and facilitate leadership meetings, offsites, customer visits, and team events, including logistics, agenda preparation, and follow-up on action items.
  • Complete a broad range of administrative work, including expense reports, contact lists, purchase requests, and organizational documentation.
  • Build a working understanding of the business so you can anticipate what the EVP needs before being asked and support strategic initiatives rather than only reacting to them.
  • Partner with executive assistants across the company to align on coverage, share practices, and keep support consistent for cross-functional meetings and travel.
  • Maintain confidential files and records with full attention to data integrity and security.
  • Handle confidential and sensitive information with the highest level of discretion and integrity.

What you bring to the table:

  • Proven experience supporting a senior executive inside a large enterprise technology company, with a track record of operating effectively in a matrixed environment.
  • Sound judgment about priority and access. You can tell the difference between urgent and loud, and you protect the EVP's time accordingly.
  • Strong written and verbal communication, with the ability to work confidently with people at every level, internally and externally.
  • Proficiency in Google Workspace and Microsoft 365, and comfort picking up new tools quickly.
  • The ability to work independently with minimal supervision while functioning effectively as part of a team.
  • Demonstrated professionalism, confidentiality, and discretion in handling sensitive information.
  • Resilience and composure under pressure, and a sense of urgency when it matters.
  • Flexibility to work outside of regular business hours when necessary, including across time zones.

Minimum Qualifications:

  • Bachelor's degree and 6+ years of Administrative Assistant or relatred work experience OR
  • Associate's degree and 8+ years of Administrative Assistant or relatred work experience OR
  • High School Diploma or equivalent and 10+ years of Administrative Assistant or related work experience

*Completed advanced degrees in a relevant field may be substituted for up to two years (Master's = One year, Doctorate = two years) of work experience.

The estimated hourly rate for this role to be performed in San Diego, CA is $47.50 - $71.30 USD per hour.

The salary for the successful applicant will depend on a variety of permissible, non-discriminatory job-related factors, which include but are not limited to education, training, work experience, business needs, or market demands. This range may be modified in the future. The total compensation for a candidate will also include annual target bonus, equity, and benefits, with equity making up a significant portion of your total compensation.
