Position:

Executive Admin

Job Description:

Provide comprehensive administrative support to a Vice President-level executive, ensuring efficient management of daily operations, communications, and strategic priorities. Independently manage complex calendars, coordinate meetings and events, arrange business travel, process expenses, and support executive communications.

What You'll Do:

  • Manage executive calendars, scheduling, and meeting logistics to optimize time and priorities.

  • Coordinate domestic and international travel arrangements, itineraries, expense reporting, and reimbursement processes.

  • Plan and execute meetings, conferences, and events, including venue coordination, catering, materials preparation, and guest management.

  • Serve as a primary point of contact for internal and external stakeholders, maintaining professional relationships and facilitating communications.

  • Draft, proofread, and format correspondence, presentations, reports, and other business documents.

  • Maintain confidential digital and physical records and ensure effective document management.

  • Provide general office administration, including invoice processing, office supply management, and equipment coordination.

  • Support special projects, research initiatives, data analysis, and presentation development.

  • Partner with facilities and security teams to support onsite operations and workplace needs.

Who We're Looking For:

  • 5+ years experience supporting senior executives in an onsite Executive Assistant role.

  • Strong organizational, communication, and multitasking skills with the ability to work independently and manage competing priorities.

  • Demonstrated discretion in handling confidential information and interacting with senior leaders and stakeholders.

  • Proficiency with Microsoft Office and standard business systems and tools.

  • Positive attitude and willingness to assist in office happenings.

Work Arrangement:

  • Hybrid: 3 days in office / 2 days work from home

Annual Hiring Range/Hourly Rate:

$32.45 - $39.66

Actual compensation offer to candidate may vary from posted hiring range based upon geographic location, work experience, education, and/or skill level. The pay ratio between base pay and target incentive (if applicable) will be finalized at offer.
