Position Description:

Champions a values-based culture to promote unit effectiveness. Directs and supervises Patient Services staff in the processing of patients. Supervises scheduling of appointments, patient visits, the receiving of patients, and the maintenance of records; supervises processing of charges for clinic services, filing of insurance claims, responses to requests for information from patients and insurance companies and the maintenance of related information for the department. Responsibilities may include interviewing, hiring, and training employees; planning, assigning, and directing work; appraising performance; rewarding and disciplining employees; addressing complaints and resolving problems. Most work is performed according to established procedures; problems of an unusual nature are referred to manger. Employees in this classification supervise Patient Services Specialist and Sr. Patient Services Specialist employees. Work is performed in a medical clinic setting and may require a high degree of contact with patients, facility staff, and other partners.

Major/Essential Functions:

  • Responsible for serving as Back up Supervisor. Supervises staff as necessary

  • Responsible for registering and scheduling appointments for office visits accurately.

  • Responsible for collecting patients’ payments, preparing and reconciling daily deposits. May assist supervisor in taking delay deposit to MPIP.

  • Retrieves patient accounts, verifies and updates FSC, general comments, obtains copies of managed care plans and/or insurance information. Works the ETM files for registration rejections.

  • Responsible for receiving and addressing incoming calls promptly. Assists supervisor in monitoring and/or training staff in the AVAYA system.

  • Arrives and No-shows appointments on a daily basis for the end of Month statistics. Run daily report as needed.

  • Responsible for assisting in entering faculty and Resident clinic schedules and revisions.

  • Responsible for assisting supervisor in monitoring and generating the PINS process with staff for the Patients Web Portal on a daily/monthly basis.

  • Responsible for assisting supervisor to oversee and manage the referral and authorizations.

  • Trains existing and/or new employees in the registration and processing of patients or in any other job-related duties.

  • Provides cross training to staff within the different areas.

  • Remain current with all licensure, certifications, and mandatory compliance and training requirements for this position.

  • Adhere to all policies, procedures, and practices (Regents Rules, TTUS, HSECEP OPs, etc.).

  • Personally, and consistently, demonstrate, display and act in accordance with Texas Tech Health El Paso’s Values (Service, Respect, Accountability, Integrity, Advancement, and Teamwork). Serve as a Value's leader while actively promoting and encouraging staff across the institution.

Required Qualifications:

  • A minimum of a high school diploma or equivalent.

  • A minimum of five (5) years of customer service experience of which two (2) years are in an of supervisory role.

  • Experience in a clinic or physician's office preferred. OR At least three (3) years of experience at TTUHSC in the Patient Services Program, one (1) year of supervisory experience.
