The Temporary HR Data & Document Clerk will provide dedicated administrative and data support for a 90-day HR records consolidation project. This position will assist with the organization, scanning, review, uploading, and consolidation of physical and electronic employee and new-hire onboarding documentation as part of an Applicant Tracking System (ATS) and Human Resources/people management system integration.

The primary objective of this assignment is to ensure required records are accurately processed, appropriately stored, and consolidated within the organization's designated system of record/source of truth. This project supports organizational recordkeeping and compliance commitments, including requirements associated with county partners and the New York State Office of Children and Family Services (OCFS).

This is a project-based position well suited for someone who is highly organized, comfortable working independently with technology and electronic records, and able to perform repetitive, detail-oriented work with a high degree of accuracy.

Job Responsibilities

Review, organize, and process electronic HR and new-hire onboarding documents.

Scan, organize, and process physical personnel files and convert hard-copy records into accurate electronic records.

Prepare, sort, label, and refile physical personnel documents and file folders in accordance with established records-management standards.

Upload documents into the appropriate employee or candidate records within designated systems.

Consolidate documents currently maintained across multiple locations into the established system of record.

Match documents accurately to the appropriate employee, candidate, record, or electronic file.

Apply established naming conventions, document categories, and filing standards consistently.

Identify duplicate, missing, incomplete, or incorrectly filed documentation and escalate discrepancies for resolution.

Maintain project tracking tools to document completed records, outstanding items, and overall progress.

Perform routine data entry and validation to ensure information is complete and accurately recorded.

Assist with reconciliation between existing records and the organization's ATS/people management systems.

Follow established processes for handling confidential personnel and applicant information.

Meet established daily and weekly production expectations to ensure completion of the project within the 90-day assignment.

Participate in periodic quality-control reviews and correct identified documentation or data issues.

Communicate barriers, discrepancies, and potential compliance concerns promptly to the project lead.

Perform other project-related administrative and data-management duties as assigned.

Project Expectations

This position is being established specifically to support completion of a defined HR document-management and systems-integration project within approximately 90 days. The successful candidate will work against established production and quality expectations, with progress measured throughout the assignment.

By the conclusion of the project, the goal is to have the identified HR and onboarding documentation processed, reconciled, and consolidated into the designated source-of-truth system, supporting the organization's recordkeeping and compliance commitments.

Qualifications

Job Requirements:

High school diploma or equivalent.

Strong computer skills and comfort learning new technology and software systems.

Experience with data entry, electronic document management, records management, administrative support, or similar work.

Strong attention to detail and ability to maintain accuracy while processing a high volume of records.

Ability to organize and prioritize work against defined project deadlines.

Ability to follow standardized processes and maintain consistent documentation practices.

Ability to work independently while escalating questions or discrepancies appropriately.

Demonstrated discretion when handling confidential or sensitive information.

Physical Requirements

Ability to regularly stand, walk, bend, reach, and move throughout the office while retrieving, scanning, organizing, and returning physical personnel files.

Ability to lift, carry, and move boxes of hard-copy personnel files weighing up to approximately 30 pounds, with or without reasonable accommodation.

Preferred Qualifications

Previous experience working within an Applicant Tracking System (ATS) and/or Human Resources Information System (HRIS)/people management platform.

Experience with Paycom strongly preferred, particularly working with applicant, onboarding, employee document, or personnel record functionality.

Experience uploading, organizing, auditing, and maintaining electronic employee or applicant records within a system of record.

Previous HR, Talent Acquisition, onboarding, compliance, records management, or administrative experience.

Experience supporting a data cleanup, document migration, systems integration, records reconciliation, or compliance project.

Proficiency with Microsoft Office/365, particularly Excel, and comfort learning new technology and data-management platforms.

Successful candidates will demonstrate strong attention to detail, organization, accuracy, technology aptitude, and follow-through. The ability to perform repetitive work consistently is particularly important—the success of this project depends on both productivity and accuracy.

The individual should also be comfortable identifying when something does not look right rather than simply processing it. This includes recognizing missing documents, duplicate records, mismatched information, or other discrepancies and escalating them for review.

Position Duration

This is a temporary, part-time hourly position anticipated to begin in September 2026 and conclude in December 2026. The assignment is project-based and is expected to end upon completion of the identified work or the conclusion of the 90-day assignment.
