Location: Seattle Position: Full Time (Hybrid) 3 days in-house
Rate: $31.73 - $34.00 per hour, based on experience
About this role
The Sales Operations Coordinator supports a broad range of Sales Operations, Key Account Management, Data Management, and Reporting functions that are critical to the success of Outdoor Research's wholesale business. The ideal candidate is highly detail-oriented, organized, and committed to maintaining accuracy across systems, processes, and customer interactions. Success in this role requires strong collaboration across departments, a proactive approach to problem-solving, and a willingness to continuously learn and improve existing processes. We are looking for a team player who is eager to contribute, take ownership of responsibilities, and identify opportunities to enhance both the customer experience and operational effectiveness.
DUTIES [SALES OPERATIONS]

Work cross-functionally to execute and monitor internal controls, support audit requests, and maintain compliance with SOX requirements and company governance standards.

Assist with the administration and maintenance of OR's B2B platform, including customer account creation, sales program setup, catalog management, and ongoing system updates to ensure data accuracy and an optimal user experience.

Participate in regular order book and customer master data maintenance, ensuring the accuracy of seasonal terms, pricing structures, customer contacts, and reporting attributes across business systems.

Maintain the Sales Department calendar and project management workflows within Asana; attend weekly cross-departmental calendar meetings as the Sales representative; communicate key deliverables and milestones to Sales Management; and assist in driving critical departmental initiatives to ensure timely execution of seasonal business objectives.

Maintain a strong working knowledge of and assist in managing external sales tools and reporting platforms, including MAP and pricing monitoring, sell-through reporting, and the online dealer locator. Support Sales Management through regular reporting activities and ad hoc analysis requests.
DUTIES [KEY ACCOUNT & INTERNATIONAL ORDER MANAGEMENT]

Lead coordination efforts for Key Account and International Distributor operations to ensure successful seasonal execution, including the creation and management of account confirmations, order acknowledgments, shipping schedules, and dealer-facing assets and account resources.

Respond to all email, phone, EDI, and other customer inquiries in a timely, professional, and positive manner. This includes, but is not limited to, inquiries regarding new purchase orders, product availability, product information, shipment status, warranties, and returns.

Ensure the accuracy of orders, returns, customer accounts, and all related transactions. Work closely with Finance, Planning, Marketing, Sales, and Shipping/Receiving to establish and manage accounts, provide necessary reporting, and communicate issues affecting order fulfillment, customer relationships, and revenue. Ensure all order book changes are properly documented and approved in accordance with SOX requirements.

Manage account details to ensure all information remains current and accurate, including adding new store and ship-to locations, updating account contacts, and communicating new vendor guide requirements to affected departments.

Process returns and warranties in accordance with department procedures, using appropriate cancellation codes to accurately categorize return reasons. Proactively communicate recurring quality concerns within the department and to other departments as needed.

Work cross-functionally to support successful International Distributor and Key Account partnerships. Maintain a strong understanding of supply chain and logistics processes related to both International Distributor and Key Account shipments. Continuously seek opportunities to expand knowledge of cross-departmental processes and understand how departmental functions support International Distributor and Key Account objectives.

Support Sales Management in the execution of ad hoc projects designed to improve the Key Account customer experience.
DUTIES [DATA MANAGEMENT, REPORTING, AND SAMPLE MANAGEMENT]

Maintain an accurate and up-to-date Seasonal Database that supports OR's B2B platform and is distributed to global accounts. Manage, audit, and support additional database projects as requested, and assist Sales Management with B2B system maintenance and enhancement initiatives.

Create, maintain, organize, and distribute seasonal selling collateral, including price lists and UPC lists, with a primary focus on the Commercial Wholesale and Commercial Tactical channels. Support catalog and workbook development as part of the seasonal sell-in cycle.

Maintain and distribute customer-specific item and SKU data through approved platforms, including SPS Assortment, GSX, and NuORDER.

Assist with Power BI report development, reporting maintenance, and troubleshooting in collaboration with internal and external partners.

Work cross-functionally to manage biannual seasonal salesperson sample shipments from order entry through delivery. Maintain accurate shipping schedules and provide clear, consistent communication to ensure timely and accurate shipment execution.
DUTIES [OTHER]

Prioritize daily tasks and projects to perform job responsibilities with a high degree of accuracy, efficiency, and timeliness.

Establish and maintain positive working relationships with coworkers, outside sales representatives, buyers, and other business partners.

Develop and maintain in-depth knowledge of Outdoor Research products through participation in on-site and off-site product training events and clinics.

Perform other duties as assigned.
Position Requirements
Qualifications:
-
Bachelor's degree required; minimum of 3 years of experience in high-volume account and order management. Experience with EDI transactions and related software, advanced ERP systems, and shipping and logistics operations is required.

Strong organizational, analytical, and problem-solving skills, with the ability to manage multiple priorities and work both independently and collaboratively. Exceptional attention to detail is essential.

Excellent written and verbal communication skills, with the ability to communicate professionally and effectively across departments and with external partners.
-
Proficient in Microsoft Office applications, including Excel, Word, Outlook, and PowerPoint.
-
Experience with business intelligence and reporting tools, such as Power BI, is preferred.
-
Familiarity with Outdoor Research products, the outdoor industry, or the wholesale apparel and equipment industry is a plus.
-
Demonstrated ability to work effectively as part of a team while maintaining a high level of personal accountability, initiative, and motivation.

Consistent record of reliability, punctuality, and attendance.
-
Ability to work effectively and respectfully within a diverse and inclusive workplace.

Must be able to communicate clearly and fluently in English.
