Job Description The Production Coordinator supports the Production Manager in all aspects of venue operations and the execution of live events and shows. This role plays a key part in ensuring that events run smoothly and that touring artists and their production teams receive the support and resources they need while on site. The Production Coordinator assists with the staffing, coordination, and supervision of venue support staff, including hospitality personnel, runners, merchandise sellers, and other event staff. They serve as the primary contact for hospitality advances and work directly with touring artists and production teams to coordinate their needs prior to and throughout their visit. In addition to supporting day-to-day production operations, the Production Coordinator serves as a knowledgeable local resource for touring acts, helping facilitate communication between artists, venue staff, and other departments. The role works closely with the Production Manager and production team across all areas of venue operations to help deliver a professional, efficient, and welcoming experience for artists, staff, and guests.

Responsibilities include but are not limited to:

  • Assist the Production Manager in all aspects of running the venue and putting on events and shows.
  • Assist in staffing and supervising support staff including hospitality staff, runners, merchandise sellers and others.
  • Manage departmental payroll administration by tracking employee hours, reviewing time records for accuracy, and entering hours into the company payroll system in a timely manner.
  • Act as the main hospitality and VIP advance contact and interface with traveling production and artists.
  • Assist with the execution of special events and other event-related logistics as needed.
  • Support the venue staff in all areas.
  • Serve as a local resource to touring acts.

Prerequisites

  • Strong organizational skills and attention to detail
  • Ability to work in a fast paced, deadline driven environment while juggling multiple tasks.
  • Ability to troubleshoot and problem-solve independently
  • Excellent communication and collaboration skills, both verbal and written
  • Ability to work in a very busy, high-pressure setting
  • Maintain a positive public/professional profile at all times
  • Strong management and leadership skills
  • Proficient in Microsoft Word/Excel.
  • Live music venue and artist hospitality experience preferred, but not required
  • Bachelor’s degree preferred, but not required
