Summary

The Provider Onboarding Coordinator provides system coordination for day-to-day activity for implementing provider and/or practice onboarding, off boarding and moves for the Baptist Health Medical Group (BHMG). The Provider Onboarding Coordinator works collaboratively with physicians, practice managers and staff, hospital leadership, and BHMG support departments to ensure successful onboarding, off boarding and / or moves checklist for providers and office practices to BHMG is completed timely and accurately. The Provider Onboarding Coordinator must be able to successfully communicate across a wide spectrum of audiences, lead change initiatives, have strong financial and organizational skills and be able to function effectively with multiple priorities. Provider Onboarding Coordinator will be responsible for onboarding practices and providers (providers defined as Physicians and Advanced Practice Clinicians within BHMG) to BHMG from signature of the contract to thirty (30) days post start date.

Job Description:

Essential Duties and Responsibilities include the following. Other duties may be assigned.

Coordinates with BHMG leadership and the on-boarding physician or practice to ensure operational best practices and service excellence standards are developed and maintained.

Develops strategic short-range and long-range processes to support the organization's and practice's goals, while enhancing the BHMG physician onboarding process

Coordinates with BHMG leadership, new practice staff and providers, and all members of the Onboarding Team to ensure operational problems are resolved during the on-boarding process and service excellence standards are developed.

Leads the BHMG Onboarding team weekly calls.

Serves as a member of the BHMG Physician Integration team in collecting, analyzing, preparing, and maintainingreports

Leads the BHMG Onboarding team in completing the checklist of a provider or practice onboard/off board/move.

Identifies problem areas with onboarding/off boarding/moves that impede BHMG progress; recommends appropriate interventions and/or other corrective actions as needed

Implements protocols to ensure standardization and compliance of the integration process.

Serves as the main liaison between BHMG and provider.

Leads the Onboarding team in analyzing, preparing, and maintaining on-boarding budgeted costs for the new practices.

Integrates new practices and coordinates the planning and launch of acquisitions to ensure seamless transition for patients, physicians, and employees. Works to achieve cultural integration. Manages the Baptist brand by exporting the culture of service excellence and standardized care.

Develops schedules based on task breakdown, materials, and information and resource allocation plans.

Lead contract labor calls to ensure proper onboarding of contract labor by market.

Provides excellent service to all customers, striving to exceed their expectations.

Provides project support for the Strategic Project Manager and Vice President of Physician Integration.

Develops and implements best practices and tools for project execution, management, and communication.

Effectively communicates project expectations to team members and stakeholders in a timely and clear fashion.

Estimate the resources and participants needed to achieve project goals.

Track project milestones and deliverables and develop and deliver progress reports.

Proactively manages changes in project scope, identify potential crises, and devise contingency plans.

Coaches, mentors, motivates, and supervises project team members and contractors, and influences them to take positive action and accountability for their assigned work.

Builds, develops, and grows any business relationships vital to the success of the project.

Conducts project post mortems and create a recommendations report in order to identify successful and unsuccessful project elements.

Educates BHMG staff about physician integration to ensure consistent and equitable application of integration strategies, procedures, and templates.

Apprises Strategic Project Manager, and appropriate operational leaders, of organization issues, problems or trends; prepares reports, analyses and other written communication setting forth progress, adverse trends, and appropriate recommendations or conclusions as necessary or requested.

Collects feedback from BHMG operations leads, as well as physicians, to demonstrate effectiveness of integration/practice assimilation strategies.

Strive to ensure optimal physician integration to BHMG.

Ensures compliance with all law and regulation and keeps abreast of new regulations and standards.

Develops schedules based on task breakdown, materials, and information and resource allocation plans.

Ensures positive customer relations interactions

Manages difficult or emotional customer situations

Responds promptly to customer needs

Solicits customer feedback to improve service

Responds to requests for service and assistance
