Description
We are looking for a detail-oriented coordinator to support daily scheduling and office operations for a Contract position based in Tacoma, Washington. In this role, you will help keep installation activities organized by coordinating crew schedules, managing job information, and ensuring timely communication across clients, field teams, and vendors. This opportunity is ideal for someone who thrives in a fast-paced environment, values accuracy, and can balance administrative tasks with responsive customer support.
Responsibilities:

Build and maintain daily schedules for installation teams to support efficient field operations.

Review client portals to gather job information and update scheduling details as assignments change.

Relay schedule adjustments, site updates, and priority changes quickly to crews and internal stakeholders.

Provide clear progress updates to customers, team members, and suppliers to keep work moving smoothly.

Assist with warranty-related follow-up by coordinating return visits and helping address service concerns.

Retrieve purchase orders, confirm supporting documentation, and enter job information accurately into company systems.

Prepare job tickets and route them to the appropriate personnel for execution.

Keep electronic and physical records organized so job details remain accessible and current.

Develop familiarity with service territories and job site locations to improve scheduling decisions and response times.

Support general office operations and complete additional administrative tasks as business needs require.
Requirements • Prior experience in scheduling, dispatch, logistics coordination, or office administration is preferred.

Strong verbal and written communication skills with the ability to work effectively with customers, crews, and vendors.

Proven ability to manage multiple priorities while maintaining accuracy and meeting deadlines.

Comfort using computers, web-based client portals, and data entry systems in a daily work setting.

Solid problem-solving skills and the judgment to handle service issues and customer concerns professionally.

Working knowledge of logistics or distribution processes is an asset.
