Full job description
Coordinates programs, events, and shared operational activities for Middlebury’s Experiential Learning Centers (ELCs), including the Career Center, the Center for Community Engagement (CCE), Internship Gateway, and the Elizabeth Hackett Robinson '84 Innovation Hub. The position supports student engagement, experiential learning, and career readiness by coordinating shared events, operational systems, and visitor experiences that strengthen connections among students, faculty, staff, alumni, employers, and community partners. Supports shared operational and office-management functions across the ELCs to improve coordination, efficiency, and user experience.
This is a full-time, benefits eligible, hourly position with a hiring range of $21.91 - $24.65 per hour.
Core Responsibilities:

Coordinates event planning through development, production, and event-day delivery, including logistics related to guest travel, catering, facilities, accessibility, risk management, expenditures, staffing, calendars, and problem resolution.

Collaborates with ELC staff to develop event objectives, timelines, formats, and budgets; translates programmatic needs into operational plans and supports implementation and delivery.

Supports shared ELC operational and office-management functions, including budget support, supply management, building operations, safety planning, opening and closing procedures, and coordination with Facilities Services and other campus partners.

Coordinates integrated scheduling, logistics planning, and shared event calendars across ELC units; advises staff on operational considerations related to programs and events.

Supports a welcoming and inclusive ELC user experience by coordinating front-line services, maintaining shared spaces, communicating information related to ELC programs and services, and supporting the appearance and functionality of common areas.

Maintains accurate data related to student, alumni, employer, and community engagement and assists in preparing reports related to ELC programs, events, and operational activities.

Coordinates student, staff, and guest travel arrangements related to ELC programs and events.

Supervises and supports student employees and event-support staff, including hiring, training, scheduling, and assigning responsibilities, while promoting the missions, values, and strategic priorities of the Experiential Learning Centers.
Requirements

Bachelor’s degree required; Associate’s degree with three years of relevant experience may be considered.

Relevant experience in event planning, operations, program or project management, educational administration, office operations, public relations, or related fields required.

Strong organizational and operational coordination skills, including the ability to manage multiple projects simultaneously, prioritize competing demands, and respond effectively to changing schedules and operational needs.

Ability to work independently and collaboratively in cross-functional environments, anticipate operational challenges proactively, and implement effective solutions in a dynamic setting.

Excellent oral and written communication skills, strong customer service orientation, and ability to manage sensitive interactions professionally while fostering productive relationships with diverse internal and external constituents; ability to develop productive working relationships with students, faculty, staff, alumni, employers, and community partners.

Demonstrated ability to supervise, train, schedule, and support student employees and event support staff.

Proficiency with Microsoft Office Suite, Google applications, Zoom, and the ability to learn new technologies and systems as needed.
Physical Demands and Working Conditions:
Work is performed in an office environment and requires the ability to operate standard office equipment and keyboards.
Some travel to off-campus sites and occasional evening and weekend work is required. Several hours per day may be spent in a private or shared office environment working at a desk, using computers and monitors extensively, or attending meetings.
