Stillwater Health Care is seeking a full-time Ward Clerk to work Monday through Friday, from 7:30a-4pm. The ward clerk will be working directly with the public as they will oversee the daily operations of the front desk. The ward clerk will also have a hand in scheduling appointments for our residents, making referrals, overseeing the van schedule, answer the phones, work with the provider and nursing staff, as well as be a welcoming presence for our visitors, families and guest that come through the building.

The primary purpose of our Ward Clerk position is to assist the Nursing Department in day-to-day administrative functions in accordance with current federal, state, and local standards, guidelines, and regulations governing medical records, ensuring they are maintained in an informative and complete manner. About the Role
As our Ward Clerk, you serve as a key communication and organization hub for the nursing unit. You will interact with administrators, the Director of Nursing, staff, physicians, residents, families, and community members. Your day involves managing phone calls, maintaining current directory listings, entering resident demographics into ECS, processing medical records upon discharge or request, ensuring orders are signed and filed timely, and assisting with admissions and supply orders.
Key Responsibilities

Administrative & Communication Support: Answering telephones, paging calls, delivering messages, and maintaining a current listing of physician, emergency, and business phone numbers.

Medical Records Management: Disassembling charts upon resident discharge to prepare closed records, completing medical records requests according to policy, entering demographics into ECS, utilizing HealthInfoNet as needed, and ensuring all orders are signed, dated, and filed into resident charts within 5 days.

Admission & Discharge Assistance: Assisting with the admission and discharge of residents as necessary, and providing transportation for residents to scheduled appointments as appropriate.

Supply & Collaboration: Assisting with placing supply orders as assigned, promoting positive relationships with peers and residents, and working collaboratively across all departments.

Qualifications & Requirements

Education: High school diploma required; a medical terminology course is preferred.

Physical Demands: Continual walking, lifting, bending, pulling, stretching, and pushing, with occasional sitting.
