Description

US Heart and Vascular is in need of a Medical Practice Office Manager to join our team at Birmingham Heart Clinic in Birmingham AL

Responsibilities:

  • Is responsible for professional administration of assigned office. Includes responsibility for, and oversight of, administrative and clinical duties related to physician(s), patients and all employee(s).
  • Ensures appropriate communication to facilitate office compliance related to Company and regulatory policies and practices.
  • Negotiates and arranges financial arrangements with patients.
  • Ensures and oversees OSHA and HIPAA requirements for the practice.
  • Ensures efficient function of the office through proper employee scheduling. Accepts, considers and approves/denies employee requests for PTO.
  • Ensures employees are correctly administering time sheets.
  • Ensures time submitted for payment is accurate and complies with Company policy.
  • Approves time for payment in a timely manner.
  • Supervises and/or performs Check In, Check Out, scheduling, insurance verification/precertification and payment collection process as required due to office demands.
  • Partners with Operations and Human Resources to address offices issues and/or employee concerns to the appropriate party.
  • Participates in recruitment, hiring, counseling, and termination of front office/clinical staff.
  • Performs annual evaluations on front office/clinical personnel.
  • Maintains and coordinates physician call schedules, physician time off, meetings and any other scheduling needs for physicians.
  • Actively demonstrates teamwork at all times.
  • Follows other policies and procedures such that there are no verbal or written warnings during the evaluation period.
  • Maintains a safe workplace by following established safety protocols, reporting hazards, and participating in required safety training.
  • When position requires travel to/from other locations, ensures vehicles are operated and maintained in compliance with all safety, regulatory, and company requirements.
  • Fosters a team-oriented environment by encouraging cooperation, providing support, and resolving conflicts constructively.
  • Demonstrates integrity, professionalism, and respect in all interactions.
  • Follows processes and policies for the organization.
  • Reports to work as scheduled, ready to perform duties, and promptly notify their supervisor of any attendance issues.
  • Adapts to changing priorities, processes, and business needs.
  • Performs other duties as assigned.

Requirements:

  • High school diploma or GED from accredited institution.
  • Bachelors degree preferre
  • Five (5) years professional administrative / clinical experience at increasing levels of responsibility in a medical environment.
  • Current valid state driver’s license and required minimum auto insurance coverage.
  • Cardiology practice experience is preferred but not required
