Correctional Records Technician Lead Employee and Organizational Support Division | West 2 Tacoma Regional Records Unit Full Time | Permanent Location: Tacoma, WA Salary Range: $4,761 - $6,407 Monthly
This position is assigned to the Tacoma Community Justice Center; however, it will have the flexibility to telework from home or report to the physical office per the Telework Agreement, and once initial training is completed.
This position is represented by the Washington Federation of State Employees bargaining unit.
The Department of Corrections (DOC) is seeking a highly motivated and qualified individual for a permanent Correctional Records Technician Lead (CRT Lead) position within the West 2 Tacoma Regional Records Unit. This position is full-time, permanent, and located at the Tacoma Community Justice Center (CJC) in Tacoma, WA. As a custodian of incarcerated and supervised individual’s records, the Correctional Records Technician Lead (CRT-L) assists in leading a correctional records office to ensure compliance with appropriate laws and agency policy. The CRT-L contributes to the agency’s mission to improve public safety by entering, auditing, and interpreting, on behalf of the agency, the legal documents that hold individuals within the agency’s facilities and/or under the jurisdiction of the Department of Corrections for appropriate supervision within the community. The CRT-L will assist the Correctional Records Supervisor (CRS) in on-board training Correctional Records Technicians (CRTs), mentor the CRTs and assist in their continued on-the-job training, and will provide back-up to the CRS in their absence and continued office and workload management. As the Correctional Records Technician Lead (CRT Lead), some of your duties will include:

Mentor and provide leadership to correctional records technicians in a regional records office.

Lead CRTs in the absence of the CRS by leading office, assigning work, answering questions regarding sentence calculations and sentence entry.

Plan, assign, train and review the work of the CRT records staff.
-
Assess training needs of staff and work with CRS to arrange for or provide instruction.
-
Assist CRS in recognizing staffing coverage issues and help problem solve solutions.
-
Mentor and lead CRTs in work-related activities for career development.
-
Train staff on the use of offender database systems (OMNI), application of public disclosure laws, and criminal history record information laws.
-
Provide support in preparation, training, implementation, and project assignments to agency administrators in response to legislative impacts.
-
Audit and verify the accuracy of incarcerated and supervised individuals sentence structure, confinement credits and criminal history information.
-
Complete initial, second or release audits as necessary for sentence structure and release from partial confinement.
-
Resolve any problems related to sentence structure and time accounting.
-
Validate established PRD and sign order of release for final release from partial confinement.
-
Apply Supreme, Appellate, and Superior court decisions, RCWs, and Indeterminate Sentence Review Board redeterminations.
-
Ensure the contents of incarcerated individuals legal records are maintained in a secure setting.
-
Review and verify accuracy of legal documents.
-
Establish and validate agency jurisdiction of incarcerated and supervised individuals.
-
Lead and provide support relating to operations effectiveness of the DOC Revoke/Return unit.
-
Plan, assign and review the work of the R&R records staff.
-
Complete quick review with tracking spreadsheet to identify quick turnaround cases or immediate releases. Work with CRS in assigning as necessary. Monitor tracking spreadsheet throughout the day for changes.

Participate in all training provided by the records leadership and the agency as instructed.
-
Provide feedback and back-up support to CRS regarding training needs for staff.
-
Assist and provide support to CRS in implementing operational adjustments resulting from changes to law, court decisions, administrative regulations etc.
-
Enter Judgement and Sentences and other court orders. Maintain electronic and physical files.
-
Utilize, update, and maintain databases and programs containing information relative to incarcerated and supervised individuals’ conviction, sentence, and violation history.
-
Enter sentence and modification court documents into the Department's OMNI database.
-
Determine Supervision Compliance Credit eligilbity.
-
Process incoming and outgoing mail.
-
Scan Court Documents into OnBase Imaging System.
-
Provide effective communication and thorough and timely processing of requests.
-
Other Duties as Required.
What we need (required qualifications):
-
High School diploma or equivalent.
-
Three (3) years of experience entering and auditing offenders sentence structure and jail credits.
-
Three (3) years maintaining and processing offender records in an adult correctional agency. • College-level course work in criminal justice, business administration, accounting, social science, or a related field will substitute, year for year, for up to two (2) years of experience and maintaining offender records.

Access 1 Certification. (Must be obtained with six months of employment and maintained after employment. Access 2 for TAC if required.)
NOTE: Incarcerated individual records are defined as records containing certified copies of original documents relating to the incarcerated individuals' crime and sentences. Incarcerated individual records are not property files, grievance files, administrative files, treatment files, or medical files. What will make your application stand out (preferred qualifications):
- Four (4) years of record maintenance and sentence structure entering/auditing in a correctional setting along with all of the above required qualifications.
- One or more years of leadership experience.
- Two or more years of clerical experience.
- Experience as a Lead and/or direct supervisor.
- Intermediate Skill Level in Microsoft programs.

Telework Details This position may be allocated for telework. If authorized for the role, work may be performed from your home or another offsite location within the state of Washington using a reliable internet or cellular hotspot service at that time. Employees are expected to perform assigned duties in a safe manner, to take proper care all state-issued equipment, and maintain confidentiality of all information in possession while working offsite. Employees will be required to commute to a Department of Corrections facility or field office as business requires, to potentially include components of the onboarding process. Some offices will have a “drop in” area available, however, a dedicated workspace within a DOC facility will not be provided.
