Job Summary Under the direction of the Release of Information (ROI) Legal Supervisor the individual will ensure all Release of Information requests are reproduced and mailed out timely. The individual will be responsible for copying portions of the medical record and ensuring proper quality assurance checks are performed prior to disclosure.

  • Accurately mails prepared records by following Mass General Brigham policies and procedures, ROI departmental policies and procedures, Federal Public Health Laws, State Laws, HITECH, and HIPAA regulatory guidelines
  • Leverages Electronic Health Record system to validate/process information including but not limited to: patient identifdiers, mailing address, authorizations and commenting functionality
  • Utilize Pitney Bowes Web Service and Pitney Bowes postage machine to prepare delivery packages of medical records
  • Performs final quality assurance checks on medical record documentation prior to mailing
  • Ensures copies of medical records are mailed in accordance with department turnaround times
  • Open, sort and redistributes all incoming Release of Information mail and/or fax (USPS, UPS, FedEx, and courier services)
  • Engage with other Mass General Brigham departments to ensure proper and timely delivery of non-ROI requests (Billing, Centralized Record Control Center, Deficiency Tracking, Radiology, Pathology, Cardiology etc.)
  • Mails return request letters for non-Mass General Brigham entities
  • Copies paper charts if required
  • Prints medical records from system applications
  • Accepts deliveiries for Release of Information requests and supplies
  • Utilize RICOH multi-functional device to scan/copy/fax information
  • Provides exceptional customer service to patients and/or servers that may present onsite
  • Leverages ROI Resource tools daily including the ROI Resource Page, SFA’s, etc.
  • Meets performance measures/expectations
  • Other duties and responsibilities as assigned by supervisor or manager

Qualifications

Education

  • Associate degree or high school diploma or equivalent required.

Experience

  • Requires 1-2 years related experience with Health Information Management operations
  • Understands the components of a medical record, including how a record is maintained, organized and the retrieval of medical documentation in both paper and/or electronic format.
  • General knowledge of HIPAA privacy and security rules. Knowledge of state and federal rules and regulations related to the disclosure of protected health information preferred.
  • Experience working with Epic clinical applications preferred.
