Job Duties

PURPOSE OF POSITION: To record and track real estate documents per state statute. Requires outstanding customer service and considerable tact, discretion, and be accountable for the protection and control of extremely sensitive information.

WORK PERFORMED/JOB FUNCTIONS: The position requires considerable resourcefulness and a thorough knowledge of legal descriptions and statutory requirements regarding the recording of real estate documents. Review instruments/documents for completeness, and uniformity with legal standards, and verify appropriate recording fees received. Indexes real estate documents in appropriate computer tract index. Must be able to enter pertinent data into records software and proof information entered by other employees. Requires daily imaging of documents/instruments to meet archival quality standards; and proofing of images for quality control, accuracy, and clarity of images. Must be able to retrieve information from real estate records as requested by title companies, lending agencies, attorneys, realtors, and the public. Prepares and balances daily reports regarding the recording of documents and fees collected. Discretion and independent judgment are required to determine permissible variations from standard procedure, and action to be taken, within the limits prescribed. Critical decision making based on knowledge gained through work experience and/or specialized training.

Serves as a Passport Acceptance Agent, processing passport applications without errors or omissions and compiling information to be sent to the federal government, in compliance with federal regulations,

Performs other duties as assigned.

Minimum Education Required

High School Diploma

Minimum Experience Required

KNOWLEDGE, SKILLS AND ABILITIES: Knowledge of state and federal laws related to recording real estate documents and plat review. Strong interpersonal/communication skills, attention to detail, and accuracy. Requires the ability to operate a computer, scanners, and basic office equipment and specialized computer software programs. Working knowledge of rules and regulations governing the data practices, laws and record retention. Must be able to multi-task under constant interruptions and compliance deadlines.

MINIMUM TRAINING, EXPERIENCE OR CERTIFICATIONS: At a minimum, should have a high school diploma or equivalent, and two to three years of specialized training or progressive related experience. Four to six years preferred. Proficiency in the use of Excel, Word, and imaging software and equipment. Must possess a current valid driver’s license for occasional travel for training purposes. Must be a Certified Passport Acceptance Agent or complete certification process upon hire and successfully pass annual certification. Must adhere to protecting personal identification information regarding passports, military discharges, and statutory privacy programs (Safe at Home/Judicial Security).

PHYSICAL EFFORT: Sedentary to light physical activities require stooping, kneeling, crouching, reaching, handling, talking, hearing, and close vision. The employee must occasionally lift and or move up to 35 pounds. Typically, in an office environment.
