Position Description:

The Assistant Registrar for Academic Records and Graduation is responsible for the administration, coordination, and oversight of academic records and graduation-related processes for the institution. This position provides primary operational leadership for grade processing, grade changes, general academic program academic standing-related records support, graduation application review, degree certification, and final degree posting. The role works closely with school leadership, faculty, student support partners, and registrar staff to ensure academic records are accurate, student progression milestones are documented appropriately, and graduation processes are completed consistently and on time.

Texas Tech Health El Paso (TTEP) is not considering applications from individuals who require sponsorship for an employment visa, including those with HlB visas or those currently on student or postgraduate visas.

Additionally, this position is not eligible for remote or hybrid opportunities. All work is required to be performed onsite at TTEP.

Major/Essential Functions:

  • Lead and coordinate graduation application review, degree certification, and final degree posting processes for all assigned programs in collaboration with school leadership and registrar staff.

  • Conduct final academic record review for graduation candidates to confirm completion of institutional and program requirements prior to degree clearance.

  • Manage grade processing activities, including monitoring grade submission, resolving grading issues, and supporting timely and accurate posting of final grades.

  • Coordinate grade change workflows and ensure all changes are reviewed, documented, approved, and processed in accordance with institutional policy.

  • Support academic standing-related records processes, including review, posting, and communication of standing outcomes as appropriate.

  • Serve as the primary registrar liaison to assigned schools on matters involving academic records, grading, graduation certification, degree posting, and related policy interpretation.

  • Work closely with school leadership, faculty, and staff to resolve discrepancies affecting student records, progression, graduation eligibility, or transcript accuracy.

  • Maintain accurate student academic records in Banner and related systems and ensure record actions are completed in a timely, consistent, and well-documented manner.

  • Assist with development, implementation, and continuous improvement of policies, procedures, service standards, and documentation practices related to academic records and graduation.

  • Support commencement-related coordination as needed, including candidate lists, verification processes, and related records support.

  • Monitor and help resolve student record issues that may affect enrollment, graduation, licensure-related documentation, academic standing, or other institutional processes.

  • Produce, review, and interpret reports related to grades, graduation, degree posting, academic records, and related registrar functions.

  • Assist with systems testing, validation, troubleshooting, and process improvement efforts affecting academic records, grading, graduation, and related Banner workflows.

  • Provide guidance to students, faculty, and staff regarding grading, academic records, graduation requirements, degree clearance processes, and applicable institutional policies.

  • Support compliance with institutional, state, federal, and accreditation-related requirements affecting academic records, graduation, and student record integrity.

  • Support the initiatives, workload, and strategic priorities of the Office of Student Services and Student Engagement and the broader enrollment management enterprise as requested by the University Registrar.

Preferred Qualifications:

  • Master's degree in student services, business, higher education administration, public administration, or a related field preferred.

  • Three to five years of experience in registrar operations, academic records, graduation certification, grading processes, or related higher education administrative functions preferred.

  • Experience with Banner Student or other Ellucian systems preferred.

  • Strong analytical skills, exceptional attention to detail, and the ability to manage complex records processes with a high degree of accuracy preferred.

  • Strong policy interpretation, written communication, and cross-functional coordination skills preferred.

  • Experience in a health sciences or multi-program academic environment preferred.
