Front Office Coordinator - Manhattan, NYC (Upper East Side)Position Overview

We are seeking a professional, dependable, and service-oriented Receptionist to support front desk operations.

The Receptionist will serve as the primary point of contact for visitors, staff, students, families, and vendors. This role is responsible for maintaining a professional and welcoming front desk environment, managing incoming communications, assisting visitors, and supporting daily administrative and reception needs.

Key Responsibilities

  • Greet and assist visitors, staff, students, families, and vendors in a professional and courteous manner.

  • Serve as the primary point of contact at the front desk.

  • Answer, screen, and route incoming phone calls.

  • Respond to general inquiries and direct individuals to the appropriate department or contact.

  • Manage visitor sign-in and sign-out procedures.

  • Maintain visitor logs, records, and front desk documentation.

  • Assist with visitor badges and access procedures as required.

  • Monitor arrivals and departures and communicate with appropriate staff when needed.

  • Maintain a clean, organized, and professional reception area.

  • Receive and distribute mail, packages, and deliveries.

  • Provide basic administrative support, including data entry, filing, document preparation, and record maintenance.

  • Assist with scheduling, communications, and other general office tasks as needed.

  • Maintain confidentiality when handling sensitive information.

  • Follow established front desk and visitor management procedures.

  • Communicate promptly with appropriate staff regarding unusual situations or visitor concerns.

  • Provide occasional extended coverage when required.

  • Perform additional receptionist and administrative duties as assigned.

Qualifications

  • Previous receptionist, front desk, administrative, customer service, or similar experience preferred.

  • Strong verbal and interpersonal communication skills.

  • Professional and customer-service-oriented demeanor.

  • Dependable, punctual, and organized.

  • Strong attention to detail.

  • Ability to manage multiple tasks in a busy front desk environment.

  • Comfortable interacting with a wide range of visitors and staff.

  • Basic computer skills, including email, data entry, and common office applications.

  • Ability to learn visitor management, telephone, scheduling, or administrative systems.

  • Ability to handle confidential information with discretion.

Preferred Qualifications

  • Prior experience as an Office Coordinator, Front Desk Coordinator, or in a similar administrative support role.

  • Current NYS Security License.

  • Fire and Life Safety certifications.

  • Previous experience working in a school, corporate office, or other controlled-access environment.

  • Familiarity with visitor management, access control, badging, or building safety procedures.

Schedule

The anticipated schedule is:

Monday through Friday

Approximately 7:30 a.m.–2:00 p.m.

Some flexibility may be required for occasional extended coverage based on business needs.

4-6 month temporary assignment with ability to go permanent
