Full job description

Onboarding Specialist

We are seeking an organized and detail-oriented Onboarding Specialist to support the new hire onboarding process and provide a positive, seamless experience for incoming employees. The ideal candidate will have 2+ years of dedicated onboarding experience, strong communication skills, and the ability to manage multiple new hires and administrative priorities simultaneously. This position is fully onsite, and candidates must be comfortable working in the office five days per week.

Key Responsibilities

  • Coordinate and manage the onboarding process for new hires from offer acceptance through their first day and initial onboarding period.

  • Communicate with new hires regarding pre-employment requirements, onboarding documentation, start dates, and first-day expectations.

  • Collect, review, and maintain new hire documentation to ensure information is accurate and complete.

  • Coordinate background checks, employment verification, and other pre-employment requirements as needed.

  • Complete and process new hire paperwork, including I-9 documentation and other required employment forms.

  • Enter and maintain accurate employee information within HRIS and onboarding systems.

  • Partner with recruiters, HR team members, hiring managers, and internal departments to ensure employees are prepared for their start dates.

  • Track onboarding progress and follow up on outstanding documentation or requirements.

  • Maintain organized and confidential employee records.

  • Respond to new hire questions and provide a professional, welcoming candidate and employee experience.

  • Assist with additional HR administrative responsibilities and projects as needed.

Qualifications

  • 2+ years of professional onboarding or new hire coordination experience required.

  • Experience supporting high-volume onboarding environments is preferred.

  • Strong understanding of onboarding documentation and processes.

  • Experience working with an HRIS, ATS, or onboarding platform.

  • Strong Microsoft Office skills, including Outlook, Word, and Excel.

  • Excellent written and verbal communication skills.

  • Highly organized with strong attention to detail and follow-through.

  • Ability to manage multiple priorities and deadlines in a fast-paced environment.

  • Comfortable handling sensitive and confidential employee information.

  • Must be comfortable working fully onsite five days per week.

Job Type & Location

This is a Contract to Hire position based out of Chesapeake, VA.

Pay and Benefits

The pay range for this position is $25.00 - $28.00/hr.

Individual compensation offered for this position within this range will depend on many factors, including qualifications, skills, relevant experience, job knowledge, geographic location, internal equity, and other pertinent job-related factors.
