Full job description
Under the direction of the Transportation Desk Supervisor (DU), the Transportation Desk Coordinator is responsible for managing the transportation desk at the customer site. This role ensures the smooth coordination of ground transportation services while supporting both the arrival and departure processes for DU guests.
MUST-be proficient in Excel
The Coordinator provides professional, efficient, and courteous service at all times, ensuring all guest questions are answered accurately and that their transportation needs are fully supported. Daily interaction with customer representatives requires a high level of diplomacy, accuracy, and professionalism.
PRINCIPAL DUTIES & RESPONSIBILITIES
Transportation Coordination

Coordinate all ground transportation requests at the customer site, and additional locations when needed.

Create the daily transportation manifest each morning using an Excel spreadsheet format.

Oversee transportation requirements to ensure services meet customer expectations consistently.
Guest & Reservation Support

Respond promptly to guest requests received via email (DU Reservations Box or DU Front Desk).

Answer incoming calls to the Transportation Desk courteously and promptly, taking reservations and entering them accurately into the reservation system.

Assist guests during arrival and departure on the front drive as needed.
Communication & Operational Support

Maintain effective communication with chauffeurs, greeters, and internal staff to ensure clarity and completion of assignments.

Determine the need for stand-by vehicles and communicate last-minute requests to Dispatch.

Keep a manual log of all last-minute requests and submit it to management daily.

Communicate with Dispatch when additional equipment or support is required (e.g., busy periods).

Notify the Transportation Desk Supervisor or Transportation Manager of any concerns or potential operational issues.
Service Standards & Issue Resolution

Ensure all service standards are met or exceeded.

Document service issues using Service Advisories.

Use sound judgment, tact, and diplomacy to resolve urgent service problems.

Maintain full working knowledge of customer requirements, site layout, and logistical details.

Perform other related duties as assigned.
JOB QUALIFICATIONS
Education
-
High School Diploma or GED required.
-
At least one year of college or equivalent professional experience preferred.
Experience
-
Minimum 6 months customer service experience required.
-
Experience in event management is a plus.
Skills

Proficiency in Microsoft Office, including Word and Excel.

Ability to take direction efficiently and give direction courteously when needed.

Strong organizational skills with the ability to prioritize and manage multiple tasks.

Strong problem?solving abilities with the capability to develop timely and effective solutions.

Pay Details: $16.00 per hour
