Position Information

Position Title Faculty Council Recording Secretary

FLSA Non-Exempt

Primary Responsibilities

Temporary, non-exempt, non-union position

This is a temporary position requiring 2-5 hours/week during the academic year. Attends and records minutes of the faculty meetings and provides an accurate transcription of the meeting in a specified format with a quick turnaround. Working hours are on-campus to attend and record meeting minutes and additional time for post meeting documentation.

Primary Responsibilities include:

  • attend and actively listening to take and produce meeting notes during both Faculty and Council meetings (Thursdays) and Faculty meetings (Tuesdays). Faculty Council meetings are scheduled from 4:30-6:00p.m., generally

  • must take comprehensive minutes for Faculty Council meetings and preparing an abstract for Faculty meetings.

  • Must be comfortable using meeting recordings as a reference tool when drafting and revising minutes and abstracts.

  • Familiarity with faculty, staff, and campus governance terminology is extremely helpful, as the individual will need to accurately identify speaker and document motions, discussions, and decisions.

  • Strong editing skills are important. Minutes and abstracts require more than transcription; they involve removing disfluencies, off-record comments, side conversations, and other content that should not appear in the official record while maintaining an accurate summary of the discussion.

  • There is generally a relatively short turnaround time between meetings and the completion of the minutes and abstracts. For example, Faculty Council meets on Thursday, and the full minutes are due back on Tuesday of the following week.

  • A Faculty Council Recording Secretary handbook and prior examples are available and serve as useful resources for learning the role.

  • Complete confidentiality is required.

Schedule:

September 2026 – May 2027

Thursdays and at least 2 Tuesdays a month

8-10 hours a weekly

Minimum Qualifications

  • HS (or equivalent) diploma and related clerical or administrative experience of at least two years required. Advanced education may be considered if related to work requirements.

  • Strong clerical skills, editing, and attention to detail required.

  • Requires efficiency and clarity with notes and technology.

  • Strong listening skills and ability to record comprehensive notes and work from recordings.

  • Familiarity with faculty, staff and campus governance terminology is preferred.

Preferred Qualifications

Salary $17.50 - $18.00/hr.
