Development and Membership Administrator

Summary

Idaho State Historical Society (ISHS) is currently searching for a dynamic and experienced professional to provide visionary and progressive leadership as the Development and Membership Administrator. The successful candidate will oversee the private fundraising and grant development efforts of the ISHS, implement a comprehensive development plan, collaborate with the Foundation for Idaho to build our agency’s family of supporters, and advance our membership and volunteer program.

The administrator serves on the leadership team of the Idaho State Historical Society and reports to its executive director. They will be responsible for leading and managing the fund development program, including individual, foundation, and corporate philanthropic gifts to support education and outreach programs, special exhibitions, collections conservation, and campaign-based initiatives. To raise funding through private, corporate, and foundation donations; oversee, plan, and implement a comprehensive development program that secures significant financial and or in- kind resources from individuals, foundations, or corporations that support Agency goals; manage principal gifts, donor prospecting and research and special multi-year fundraising campaigns.

Job Responsibilities

Fund Development Program Management

  • Conceptualizes and designs annual and long-term comprehensive fundraising plans to implement and manage giving activities that ensure adequate funding for designated programs. Develops and oversees the methods and implementation of prospect cultivation strategies.

  • Develops individually tailored and detailed gift opportunities for potential major donors; prepares written proposals, solicitation appeals, reports and/or other specific development materials for use during donor cultivation and solicitation; develops and helps conduct strategic cultivation activities such as field trips, meetings, and special events for donors and prospects.

  • Manages donor relations to include database management and recognition programs.

  • Oversees the comprehensive grant plan including contract management; maintains a professional relationship with corporations, foundations and individuals that provide support to the Agency.

  • Acknowledges, tracks, and responds to gifts received in support of the Agency.

  • Develops goals and priorities consistent with Idaho statutes and historical society guidelines.

  • Determines financial requirements and prepares budget requests.

  • Monitors and authorizes expenditures.

Membership and Volunteer Program Management

  • Oversees comprehensive agency membership program, engaging Idahoans to become an integral part of the ISHS family of supporters.

  • Oversees annual membership recruitment campaigns and ensure fulfilment of membership benefits.

  • Collaborates with agency workgroups to implement membership sales training.

  • Facilitates membership program through Foundation for Idaho History.

  • Oversees agency volunteer program of 150+ supporters.

  • Ensures proper recruitment, training, and communication with statewide supporters.

  • Staffs Foundation for Idaho History.

Capital/Project Campaign Program Management

  • Establishes campaign committee and coordinates the recruitment of additional volunteer leadership.

  • Staffs campaign committee and board including, but not limited to the preparation of agendas, materials, minutes, etc.

  • Communicates regularly with campaign leadership, campaign counsel, and other staff members to provide ongoing updates and progress reports.

  • Organizes donor cultivation events and other campaign activities.

  • Arranges, confirms, and provides advance materials for campaign cultivation and solicitation meetings and presentations.

  • Identifies and researches prospective individual, corporate and foundation donors in conjunction with Trustees, Foundation and Executive Director.

  • Coordinates design and implementation of campaign-related public relations efforts including speaking engagements, media presentations, updates, newsletters, web postings and mailings.

Supervision

  • Plans and directs the work of staff and volunteers.

  • Hires, trains, and evaluates staff.

  • Resolves personnel problems.

  • Develops policies and procedures relating to memberships and volunteers.

Other Functions and Responsibilities

  • Serves as liaison to the Foundation for Idaho History.

  • Serves on the Agency Leadership Team and participates in organizational development, including timely strategic planning, enhancing board and staff development, creating a highly productive and positive work environment, and monitoring agency performance.

  • Provides strategic direction to the agency through participation on select agency and partner organization committees as appropriate.

  • Provides support to Agency public programs and outreach effort.

  • Some weekend and/or evening hours may be scheduled.

  • Performs other duties as assigned.

Minimum Qualifications (required)

  • Some knowledge of supervisory practices-Typically gained through completion of a class or seminar (of more than 1 day) specifically covering supervisory practices or the elements of supervision, OR completion of a college-level personnel-related course covering supervisory practices, OR leadwork experience that involved work assignment, direction, and monitoring of staff (such experience on a fill-in basis is non-qualifying unless for a period equivalent to a minimum of 3 months or more—they do not have to be consecutive months).   • Good Knowledge of budget preparation; management principles and practices; fundraising and donor relations-Typically gained through a combination of education and/or professional experience that demonstrates knowledge in each of these areas.

  • Budget preparation is typically gained by at least one year of work experience evaluating cost estimates and developing and monitoring budgets for long-range planning, staffing, and equipment needs, OR successful completion of core requirements for a bachelor’s degree in finance or accounting.

  • Management principles and practices are typically gained through completion of two classes of upper division college-level coursework equivalent to “Management and Organizational Theory” and “Personnel or Human Resource Administration” that covered all the essential elements of management, OR at least one year’s experience in a job situation with responsibility for all the essential elements of management or advising management in all five areas.

  • Fundraising and donor relations knowledge is typically gained by at least one year of work experience where you were responsible for fundraising and maintaining donor relationships.

  • Experience developing, planning, and implementing fundraising strategies; building and maintaining long-term relationships with fundraising constituents such as major donors, foundations, and corporations; developing and making oral presentations to groups; developing persuasive written proposals or grants to the business community, private individuals and foundations; using database management systems and other software-Typically gained through professional experience that includes these functions.

  • Successful fundraising strategy experience is typically gained by at least two years of fundraising experience, either managing a comprehensive fund development program for an organization or a specific major fundraising project.

  • Constituent relationship experience is typically gained through at least one year of experience developing and maintaining relationships with donors, foundations, corporations, or similar constituents.

  • Oral presentation experience is typically gained by at least one year in a position developing and making presentations to varied groups as a regular part of the job; presentations completed solely as part of classroom curriculum do not qualify.

  • Proposal or grant writing experience is typically gained by at least one year of responsibility for developing and writing persuasive proposals or grants.

  • Database experience is typically gained through approximately one year of experience creating, formatting, editing, sorting, filtering, printing, and storing data in customized tables using database software; customizing tables; importing and exporting data; and creating forms and reports. Database experience must have been obtained within the last five years. Applicable software may include donor database management systems, Microsoft Office Suite, Bloomerang, Access, DB/2, Oracle, SQL Server, MYSQL, or equivalent programs

  • Travel Required: This position may require up to 15% travel time, both in and out of state, for meetings and conferences, etc.

Preferred Qualifications (not required)

  • Three to five years of progressively responsible experience in development or fundraising with responsibility for a broad portfolio of development activities-Typically gained through three to five years of professional experience in a development position with responsibility for a range of activities such as written communications, membership, annual giving, special project fundraising, fundraising campaigns, and personal donor engagement.

  • Experience managing multiple components of a comprehensive development program-Typically gained through professional experience independently coordinating or managing multiple development functions such as donor cultivation and stewardship, annual giving, membership, grants, special campaigns, donor communications, prospect research, and fundraising events.

  • Experience managing major gift or capital/project fundraising campaigns-Typically gained through professional experience participating in or managing a significant fundraising campaign, including donor identification and research, cultivation and solicitation strategies, campaign communications, volunteer or committee coordination, and donor stewardship.

  • Experience working effectively with governing boards, foundations, volunteers, community partners, and organizational leadership in support of fundraising goals-Typically gained through professional experience regularly working with board or foundation members, organizational leadership, volunteers, donors, or community partners to advance fundraising, membership, or organizational priorities.

  • Ability to pivot seamlessly between administrative, technical, program, and engagement portfolio responsibilities-Typically gained through three to five years of experience working in a single-incumbent or similarly broad development position responsible for a full range of activities including written communications, membership, annual fund, special projects fundraising, campaigns, and personal donor engagement as core responsibilities.
