Stakeholder engagement: interview site planners, facilities managers, space planners, IT and business users to gather requirements and get buy-in.

Data sourcing & governance: identify authoritative sources, define data model and taxonomy (site, building, floor, room, capacity, equipment, photos, floorplan links), and implement data governance and refresh cadence.

Data collection & validation: coordinate on-site and remote data collection (surveys, floor plans, photos), reconcile conflicting inputs, and validate accuracy.

Solution design & delivery: define requirements for a searchable dataset and UI (search, filters, map/floorplan view, room profile pages). Work with developers/IT to implement or configure a COTS solution (e.g., Space Management system, SharePoint/PowerApps, ServiceNow CMDB, GIS, Facility Management System) or a custom app.

Integration & automation: design integrations/APIs to keep the inventory up to date with authoritative systems (BIM, CAFM, AD, calendaring systems).

UX & publishing: ensure photos and floorplan imagery are organized and presented; define user roles and access controls; publish and train users.

Project management & reporting: create a delivery plan, milestones, budget estimates, and status reports. Track KPI metrics and continuous improvement.

Support & change management: provide documentation, training, and handover to operational owners or a data steward team.

Skills and Requirements

5+ years in workplace/facilities management, space planning, data management, product ownership, or similar
-
Strong stakeholder management and facilitation skills
-
Experience with UX requirements and delivering searchable interfaces (SharePoint/PowerApps, ServiceNow, custom web apps, Elasticsearch, etc.)

Ability to coordinate onsite data collection (floorplans, photos) and basic understanding of floorplan/GIS imagery
-
5+ years project management experience
-
Excellent written and verbal communication
-
5+ years leading cross-functional coordination efforts • Prior experience delivering a centralized room-booking or space inventory system at scale.

Knowledge of workplace technology standards for conferencing (AV equipment lists).

SQL, Python or scripting for data transformation.

Basic photo and image handling experience (naming, tagging, storage).
