Position Summary

The Project Coordinator – Time Entry & Workforce Administration serves as a critical administrative resource responsible for ensuring accurate and timely time and expense reporting for all contingent workforce personnel supporting the program.

This role acts as the primary coordination point between consultants, Insight Global leadership, client stakeholders, payroll support teams, and billing teams to ensure consultant hours and expenses are submitted correctly within eRecruit and approved in accordance with program requirements.

The position plays a vital role in the overall success of the engagement by ensuring:

1. Consultants are paid accurately and on time.

2. Client billing activities are supported by complete, accurate, and approved time and expense data.

This individual will proactively monitor compliance, follow up with consultants and managers, resolve submission issues, identify reporting discrepancies, and maintain visibility into workforce timekeeping performance across the program.

Time Entry Management & Compliance

Monitor weekly time entry activity for all assigned consultants.

Ensure workforce personnel:

Submit time accurately

Submit time by required deadlines

Use the correct billing codes

Allocate hours appropriately

Follow client-specific reporting requirements

Conduct proactive outreach to consultants with missing, incomplete, or incorrect submissions.

Maintain near real-time visibility into workforce compliance status.

Expense Submission Coordination

Support consultants with expense reporting processes and requirements.

Ensure:

Expenses are submitted accurately

Required documentation is attached

Policy requirements are followed

Client billing requirements are met

Coordinate resolution of rejected or incomplete expense reports.

Track outstanding expense submissions and follow through to completion.

Payroll Readiness Support

Act as a quality-control checkpoint to ensure submitted time is eligible for payroll processing.

Review and validate:

Missing timecards

Duplicate entries

Incorrect hours

Approval delays

Payroll-impacting discrepancies

Escalate critical issues before payroll deadlines to minimize consultant payment issues.

Partner with payroll teams to support timely resolution of workforce concerns.

Billing Readiness & Revenue Support

Support the operational billing process by ensuring all approved labor hours and expenses are accurately documented.

Verify:

Approved labor hours

Approved expenses

Proper coding structures

Client-specific billing requirements

Identify discrepancies that could impact invoicing accuracy or revenue recognition.

Provide reporting and status updates to project leadership regarding billing readiness.

Consultant Support & Communication

Serve as a primary administrative contact for consultants regarding:

Time entry procedures

Expense submission requirements

Approval workflows

Payroll coordination questions

Provide timely responses and issue resolution support.

Develop positive working relationships with consultants while maintaining compliance expectations.

Compliance Tracking & Reporting

Maintain reporting dashboards and trackers for:

Timecard compliance

Expense compliance

Approval status

Consultant participation

Payroll readiness

Billing readiness

Generate recurring reports for project leadership.

Identify trends and recurring issues that require process improvement.

Escalation Management

Monitor high-priority exceptions including:

Missing submissions

Delinquent approvals

Repeated compliance issues

Payroll-impacting discrepancies

Billing-impacting discrepancies

Escalate issues through established governance channels.

Ensure issues remain visible through to resolution.

Documentation & Process Administration

Maintain accurate records related to:

Consultant onboarding

Time reporting compliance

Expense reporting compliance

Approval tracking

Workforce administrative processes

Support continuous improvement of timekeeping and workforce administration procedures.

Assist with creation and maintenance of process documentation, job aids, and workforce communications.

Key Performance Indicators (KPIs)

The Project Coordinator – Time Entry & Workforce Administration will be measured against:

Timecard submission compliance rate

Timecard approval compliance rate

Expense submission compliance rate

Payroll issue reduction

Billing exception reduction

Average issue resolution time

Consultant response time

Skills and Requirements

Required Qualifications

2–5 years of experience in workforce administration, payroll coordination, project coordination, staffing operations, or business operations support

Experience managing timekeeping or workforce administration processes

Strong attention to detail and organizational skills

Ability to manage large volumes of administrative activity simultaneously

Strong written and verbal communication skills

Ability to work effectively with global teams across multiple time zones

Experience using workforce management or timekeeping systems Preferred Qualifications

Experience with:

eRecruit

Vendor Management Systems (VMS)

Managed Service Provider (MSP) programs

Staffing industry operations

Payroll support processes

Professional services or consulting workforce administration

Advanced proficiency in:

Microsoft Excel

Microsoft Teams
