You will be responsible for the following:

  • Responsible for providing administrative and clerical support to the legal department, maintaining files, and ensuring that trackers are updated on a day-to-day basis, providing general administrative and office support to the legal team to ensure smooth and efficient operations in the department.
  • Handling financial transactions for the department, in accordance with standard processing guidelines and timelines, and approved budget, preparing and maintaining contracts.
  • Ensures that all contracts entered into by the company, including addendums and other relative contractual documents, are encoded in relevant databases.
  • Assist legal counsels with their scheduled meetings;
  • Accomplish and prepare needed contracts, legal documents, forms, and formats for service and filing.
  • Coordinate with the business units and other enablers with regard to issues and concerns involving legal queries, contracts, legal documents, fraud, including the preparation of witnesses for administrative proceedings.
  • Liaise with, and receive contracts and other legal documents from internal stakeholders;
  • Review/proof read contracts prior to upload;
  • Assign contracts and other legal documents to Lawyers for sign off, and track the progress of the review.
  • Upload documents in DocuSign, or provide execution copies for contracts executed through means other than DocuSign.
  • Filing and delivery in a timely and expedient manner of the following documents:
  • Court pleadings, motions, and other submissions in civil, criminal, commercial and other cases before Philippine courts;
  • Submissions before the Securities and Exchange Commission, National Labor Relations Commission, Department of Trade and Industry, National Privacy Commission, and Bangko Sentral ng Pilipinas and other government agencies and offices;
  • Documents to clients, business partners, affiliates, affiliates, holding or parent companies, and their respective partners, directors, shareholders, officers, members, employees, agents, representatives; and
  • Any other documents for service, delivery or filing that the Legal Group may require.
  • Ensure that receipts or other proof of service, delivery, or filing are obtained after each delivery and maintaining communications with the Legal Group to provide status reports;
  • Receive and/or pick up mail, pouches, and packages from external agents and ensuring that they are delivered promptly to the proper recipient within the office of the Legal Group;
  • Handle items for distribution to clients, employees, and affiliates by ensuring that their integrity remains intact;
  • Prepare logs of all outgoing and incoming items in logbooks, reviewing them for accuracy and completeness, and ensuring that they are delivered to the Legal Group and/or right recipient within the office;
  • All other relevant duties and responsibilities necessary to the performance of the job, and such other tasks as may be assigned from time to time.
