Full job description

Fortell is designing better hearing aids for life as it’s meant to be heard. Traditional hearing aids make everything louder but they don’t do enough to help the brain separate conversation from noise in the moments that matter. Fortell uses custom AI chips to help the brain decode speech in real time, lifting voices up above the chaos so people don’t just hear, they understand.

We are backed by Thrive Capital, Valor Equity Partners, Founders Fund, Optum Ventures, Lux Capital, Vast Ventures, Good Friends, Positive Sum, Stonecroft, and Atreides Management.

About The Role

Want to join an exciting, mission-driven startup focused on enhancing hearing aid performance in challenging environments and meeting more patient needs than ever before? Fortell is looking to hire a highly motivated, patient-centered Office Manager to run the front desk and own the day-to-day operations of our new Boston clinic.

This is a full-time, in-person role responsible for both the patient-facing experience and core operations that make the clinic run successfully. You’ll greet patients, run the front desk, and keep the clinic running smoothly while also owning vendor relationships, inventory, facilities, scheduling, and the systems that keep the clinic on track. You’ll work closely with our Audiologists, operations, and product teams to ensure a seamless, high-end patient experience from first contact through follow-up.

Responsibilities

  • Serve as the face of the clinic by managing the front desk, greeting patients, and creating a welcoming, professional environment.
  • Support daily clinic operations, including scheduling, patient communication, office organization, and coordination with Audiologists.
  • Assist patients with troubleshooting their hearing aids, mobile app, Bluetooth, and iPhone connections.
  • Process purchases, returns, warranties, and other patient support requests.
  • Help maintain accurate records and support operational workflows across Salesforce and other systems.
  • Coordinate with vendors, building management, and service providers to keep the clinic operating smoothly.
  • Support inventory management and ensure clinic rooms, supplies, and equipment are organized and ready for use.
  • Contribute to improving clinic processes and delivering an exceptional patient experience.

What you’ll bring

  • 2+ years of experience in office management, clinic operations, front desk support, or customer service, ideally in a healthcare or patient-focused environment.
  • Excellent communication and interpersonal skills with a friendly, professional approach.
  • Strong organizational skills and the ability to manage multiple priorities in a fast-paced environment.
  • Confidence troubleshooting issues, solving problems quickly, and supporting patients with care and empathy.
  • Comfort using digital tools and systems; Salesforce experience is a plus.
  • A proactive, self-starter mindset with strong attention to detail.
