Full job description

Neo Security is hiring an Executive Assistant to the CEO to be a true right hand — managing the CEO's calendar, communications, and priorities so they can focus on running and growing the company. Based full-time out of our Boston, MA office, you'll own complex scheduling, travel, and meeting logistics, prepare materials for board meetings and investor updates, and act as a trusted gatekeeper and point of coordination across the executive team, board, and outside partners.

This role suits someone who is highly organized, discreet, and calm under pressure, anticipates needs before being asked, and takes real pride and ownership in making the CEO and the company run smoothly.

What You'll Do

  • Manage the CEO's calendar end-to-end, prioritizing and resolving scheduling conflicts based on business priorities.

  • Coordinate complex domestic and occasional international travel, including itineraries, accommodations, and logistics.

  • Prepare, proofread, and organize materials for board meetings, investor updates, all-hands, and executive offsites.

  • Act as a key point of contact between the CEO and the executive team, board members, investors, and external partners.

  • Manage expense reports, invoices, and other administrative tasks on behalf of the CEO.

  • Plan and coordinate leadership team meetings, offsites, and company events, including logistics, catering, and vendor coordination.

  • Handle sensitive and confidential information with the highest degree of discretion and professional judgment.

  • Track action items and follow-ups from executive and board meetings to ensure timely completion.

  • Anticipate the CEO's needs and proactively manage priorities, flagging important items and filtering out distractions.

  • Support ad hoc projects and special initiatives for the CEO and broader leadership team as needed.

  • Help manage day-to-day office operations and act as a warm, professional point of contact for visitors and candidates in the Boston office.

Requirements

  • 5+ years of experience as an Executive Assistant supporting a CEO, founder, or senior executive, ideally at a fast-growing startup.

  • Exceptional organizational skills and meticulous attention to detail, with the ability to juggle multiple priorities simultaneously.

  • Excellent written and verbal communication skills, comfortable drafting and proofreading executive-level communications.

  • Strong judgment and discretion when handling confidential and sensitive information.

  • Proven experience managing complex calendars and travel logistics across time zones.

  • Comfortable working with board members, investors, and senior executives with poise and professionalism.

  • Proficiency with standard productivity and calendar tools (e.g., Google Workspace or Microsoft 365, Slack, Zoom) and willingness to learn new tools quickly.

  • Calm, adaptable, and resourceful under pressure and shifting priorities.

  • Based in or able to relocate to the Boston, MA area, and available to work in-office full-time.

Nice to Haves

  • Prior experience supporting a CEO at a venture-backed startup, including exposure to board meetings and fundraising cycles.

  • Experience in cybersecurity, technology, or another fast-paced technical industry.

  • Experience planning company events, offsites, or executive travel involving multiple stakeholders.

  • Familiarity with expense management and basic bookkeeping tools (e.g., Expensify, Bill.com).

  • A background that reflects growth potential — for example, interest in eventually moving into a Chief of Staff, operations, or business role.

  • Experience managing or coordinating with office vendors, building management, or facilities in a hybrid or in-office environment.
