Position Summary(Basic Job Function)

This is a temporary or an on-call position. Provides professional support. Responsibilities may include general business, science, medical, agricultural or other professional support functions. Term: Temps can work two (2) nine (9) month terms with a week break in service in between and at the end of the second term terminate for three (3) months or switch to an on-call. On-Call allowed to work 1039 hours in any twelve (12) month period.

Unit Position Summary

Clerkship Coordinator Description of Duties:

Coordinate all aspects of the clerkship experience. This includes planning, scheduling, and coordinating clinical rotation placements for the third-year students throughout the academic year, including but not limited to reaching out to Family Medicine offices to request student rotation placements, assigning students to preceptors, responding to all inquiries regarding rotations placements, providing preceptors and office managers with clerkship materials and student/preceptor expectations.

Maintains Clerkship program records, contact information for each preceptor and student evaluations; tracks clerkship evaluations for all Clerkship participants, facilities, rotations, and ensures required documentation are completed and confirmations are issued; generates Mid-Clerkship Evaluations, assignment summary reports, and creates Final Clerkship Packets reports to upload to the department's shared drive and release to students.

Develops and maintains clerkship calendars, assignments worksheets, orientations handouts, clerkship PowerPoints, Clinical Rotation Assignments, etc. Coordinate all aspects of Clerkship sessions including orientations, Mid-clerkship reviews, Presentations, Shelf Exam Prep, and coordinates the schedule of faculty members’ didactic teaching sessions in conjunction with the Clerkship Director and Assistant Clerkship Director.

Required: Knowledge equivalent to that which normally would be acquired by completing a two-year college degree; one to three years of related and progressively more responsible or expansive work experience in word processing, database, spreadsheet, and presentation software; or an equivalent combination of education and experience.

Desired Qualifications

Desired: Experience working in an academic or medical office setting; ability to professionally articulate verbal and written communications; excellent interpersonal skills; ability to make administrative and procedural decisions and judgments on sensitive, confidential, and time-urgent issues; Associate’s degree and/or experience in undergraduate or graduate medical education.
