Administrative Assistant

Location:New York, NY

Position Type:6-Month Contract

Schedule:Monday–Friday, 9:00 AM–5:00 PM

Hours:35 hours per week

Pay Rate: $24.00–$35.00 per hour

Position Summary

The Administrative Assistant will provide comprehensive administrative and operational support to the Human Resources Office, with a primary focus on Employee Relations, Talent Acquisition, employee engagement, HR customer service, and HR projects. The ideal candidate will be highly organized, detail-oriented, professional, and able to handle confidential information with discretion. This position will support day-to-day HR activities while assisting with the implementation ofCUNYWork (Workday)and other special projects.

Key ResponsibilitiesEmployee Relations Administrative Support – 45%

  • Schedule meetings and coordinate calendars for Employee Relations activities.

  • Maintain confidential employee relations files and records.

  • Prepare correspondence, reports, spreadsheets, and other HR documentation.

  • Organize and maintain case documentation and related records.

  • Respond to routine employee relations inquiries and direct complex matters to the appropriate HR staff.

  • Provide administrative support for day-to-day Employee Relations activities.

  • Ensure sensitive information is handled accurately and confidentially.

Talent Acquisition & Engagement Administrative Support – 25%

  • Assist with recruitment and talent acquisition administrative activities.

  • Monitor recruitment activities and maintain accurate status records.

  • Maintain employment, recruitment, and candidate documentation.

  • Respond to routine inquiries from applicants, employees, and hiring departments.

  • Prepare correspondence, reports, spreadsheets, and recruitment-related materials.

  • Assist HR staff with employee engagement and talent-related initiatives.

Human Resources Inbox & Customer Service – 10%

  • Monitor shared Human Resources email inboxes and respond to routine inquiries.

  • Route questions and requests to the appropriate HR staff member.

  • Provide timely and professional customer service to employees, applicants, and departments.

  • Maintain tracking logs and follow up on outstanding requests as needed.

  • Assist with general HR administrative inquiries and requests.

CUNYWork (Workday) Implementation Support – 10%

  • Assist with data validation and review HR information for accuracy and completeness.

  • Support process documentation and maintain implementation-related materials.

  • Assist with training coordination and preparation of training materials.

  • Provide testing support for CUNYWork (Workday) implementation activities.

  • Assist with data review, documentation, and other HR technology implementation tasks.

  • Support additional HR projects associated with the Workday implementation.

Reports, Special Projects & General Administrative Support – 10%

  • Prepare reports, spreadsheets, presentations, correspondence, and other documents.

  • Assist with HR special projects and departmental initiatives.

  • Maintain organized electronic and paper records.

  • Provide general administrative support to the Human Resources Office.

  • Perform other duties and responsibilities as assigned.

Required Qualifications

  • High school diploma or equivalent required; additional college coursework or an associate degree in Human Resources, Business Administration, or a related field is preferred.

  • 2+ years of administrative, Human Resources, or office support experience preferred.

  • Strong organizational and time-management skills.

  • Excellent written and verbal communication skills.

  • Ability to handle confidential and sensitive information with discretion.

  • Strong attention to detail and accuracy.

  • Proficiency with Microsoft Office applications, includingWord, Excel, Outlook, and PowerPoint.

  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment.

  • Strong customer service and interpersonal skills.

  • Ability to work independently while collaborating effectively with HR team members and other departments.

  • Experience with HRIS, applicant tracking systems, or Workday is a plus.

Preferred Skills

  • Previous Human Resources administrative support experience.

  • Experience working with confidential employee records or Employee Relations documentation.

  • Familiarity with recruitment and talent acquisition processes.

  • Experience supporting HRIS or enterprise system implementations.

  • Experience with Workday or similar HR systems.

  • Strong Excel and spreadsheet skills.

  • Experience coordinating meetings, training sessions, or departmental projects.
