Job Title: Field and Warehouse Administrator

Location: Puerto Rico

Reports to: General Foreman

Compensation Range: $14-$17 per hour

What We Are Looking For

Field administrative / Warehouse clerk. This role plays a key part in operational support and administrative operations. Success in this role requires strong organizational skills, attention to detail, professionalism, and the ability to manage multiple priorities in a fast-paced environment while maintaining confidentiality and accuracy.

What You Will Do

  • Create, maintain, and update records within company systems and databases.

  • Manage physical and electronic filing systems and ensure accurate document retention.

  • Coordinate incoming and outgoing communications, correspondence, and shipments.

  • Prepare reports, spreadsheets, letters, presentations, and other business documents using Microsoft Excel and other Office applications.

  • Maintain office supply inventory and support day-to-day office operations.

  • Organize and maintain warehouse inventory, including office supplies and carry out physical inventory of water supplies, uniforms, equipment, tools, and operational materials.

  • Conduct routine physical inventory counts and reconcile inventory discrepancies.

  • Track, issue, receive, and maintain accountability for company tools, equipment, and assets.

  • Maintain organized inventory logs, reports, and tracking spreadsheets with a high degree of accuracy.

  • Coordinate with field operations to ensure equipment, tools, and materials are properly assigned and available.

  • Manage documentation requests through various administrative and governmental platforms.

  • Assist with employee performance review tracking and HR-related administrative processes.

  • Operate a company vehicle to support administrative tasks, warehouse activities, deliveries, pickups, onboarding events, and other business needs as required.

  • Perform additional administrative and operational duties as assigned.

Required Qualifications

  • High School Diploma or GED required.

  • Minimum of three (3) years of experience in administrative, office support, Human Resources, inventory control, or related functions.

  • Strong proficiency in Microsoft Office Suite, including Word, Excel , Outlook, and PowerPoint.

  • Advanced Excel skills with the ability to organize, maintain, and analyze spreadsheets and inventory records.

  • Experience managing confidential employee and company information.

  • Strong organizational, communication, and time management skills.

  • Ability to manage multiple priorities and meet deadlines with minimal supervision.

  • Valid Puerto Rico Driver's License with a clean driving record .

  • Must meet company Motor Vehicle Record (MVR) requirements and be eligible to operate company vehicles. No major traffic violations or excessive moving violations.

Preferred Qualifications

  • Associate in business administration, or a related field.

  • Experience working digital document management platforms, and administrative databases.

  • Experience with inventory management, warehouse organization, asset tracking, or logistics.

  • Experience supporting utility, construction, disaster recovery, or field operations environments.

What to Expect

This position primarily works in an office environment supporting Human Resources and operational teams while also assisting with warehouse organization and inventory control. Daily responsibilities include employee interactions, document management, onboarding activities, compliance tracking, inventory management, tool accountability, reporting, and coordination with multiple departments. The role requires advanced organizational skills, frequent use of Microsoft Excel and company systems, and the ability to shift priorities based on business needs. Occasional local travel is required to support hiring events, employee onboarding activities, warehouse operations, deliveries, and other administrative errands using a company vehicle.
