Role Summary

We are seeking a Lead Digitization Engineer to serve as the operational lead for our utility customer's Records Digitization Support initiative. This individual will oversee day-to-day digitization activities, coordinate project resources, manage production tracking and reporting, maintain quality standards, and act as a key liaison between Insight Global Consulting and client stakeholders.

The Lead Digitization Engineer will partner closely with the Project Manager, Business Analyst, and client leadership to ensure records inventory, scanning, attribution, packaging, uploads, and quality assurance activities are executed efficiently and in alignment with project objectives, schedules, and performance metrics.

In addition to supporting execution activities, this individual will own weekly reporting, stakeholder communications, meeting facilitation, action item tracking, and overall operational visibility for the engagement.

Key Responsibilities

Project & Team Leadership

 • Serve as the day-to-day lead for digitization operations, coordinating activities across project resources and ensuring work is progressing according to schedule.

 • Provide guidance, direction, and support to digitization team members regarding priorities, quality expectations, and issue resolution.

 • Monitor production progress and proactively identify risks, bottlenecks, resource constraints, and process improvement opportunities.

 • Partner with project leadership to ensure project deliverables are completed on time and within scope.

Production Oversight

 • Oversee record inventory, scanning, attribution, packaging, and upload activities to ensure compliance with client standards and project requirements.

 • Monitor production volumes, backlog status, throughput, and quality metrics to ensure performance targets are achieved.

 • Review exceptions, escalations, and quality findings while driving corrective actions across the team.

Reporting & Performance Management

 • Own the development and maintenance of weekly project reporting, production dashboards, KPI scorecards, and status updates.

 • Track schedule performance, production progress, quality performance, inventory status, issue resolution, and overall project health.

 • Provide weekly reporting packages and executive summaries for both internal leadership and client stakeholders.

 • Maintain project RAID logs (Risks, Actions, Issues, Decisions) and ensure action items are tracked through completion.

Stakeholder Management

 • Serve as a primary point of contact for operational project communications and stakeholder coordination.

 • Facilitate recurring project meetings, status updates, working sessions, and stakeholder reviews.

 • Assist with quarterly business reviews (QBRs), executive presentations, project updates, and performance discussions.

 • Coordinate with client stakeholders to resolve data gaps, attribute questions, record exceptions, and process challenges.

Quality & Process Management

 • Establish and maintain quality control standards across digitization workflows.

 • Conduct audits of scanned records, metadata attribution, naming conventions, and repository uploads.

 • Identify trends, recurring errors, and process inefficiencies while implementing corrective actions.

 • Promote continuous improvement initiatives to improve productivity, quality, and operational performance.

Records & Technical Oversight

 • Review engineering drawings, utility records, construction documentation, and archival records to validate proper classification and attribution.

 • Ensure metadata, file naming conventions, folder structures, and repository requirements are consistently applied.

 • Support complex record research and exception handling activities requiring deeper technical analysis.

Skills and Requirements

  • Bachelor's degree in Engineering, Engineering Technology, Construction Management, Information Management, Records Management, Project Management, or related technical field; equivalent experience considered.

 • 5-7+ years of experience supporting engineering records, document management, utility records, records digitization, technical data management, document control, or engineering operations.

 • 3+ years of experience leading teams, coordinating operational workstreams, or overseeing production-based projects.

 • Experience managing document digitization efforts including inventorying, scanning, attribution, quality control, metadata management, and repository uploads.

 • Strong experience preparing and presenting project status reports, KPI dashboards, risk logs, issue logs, and executive-level reporting materials.

 • Advanced proficiency in Microsoft Excel, PowerPoint, SharePoint, and Microsoft Office Suite.

 • Demonstrated ability to coordinate with business stakeholders, project leadership, and operational teams to drive project outcomes and resolve issues.

Strong organizational, communication, and leadership skills with the ability to manage multiple priorities in a fast-paced environment. • Utility industry experience supporting transmission, distribution, substation, engineering, or construction records.

 • Experience managing document control or records management programs for large-scale infrastructure projects.

 • Familiarity with records digitization technologies, large-format scanning equipment, aperture cards, and engineering drawing archives.

 • Experience facilitating stakeholder meetings, steering committees, executive reviews, or Quarterly Business Reviews (QBRs).

 • Experience managing KPI-driven engagements with responsibility for schedule, cost, quality, productivity, and operational performance metrics.

 • PMP, Lean Six Sigma, Records Management, or Project Management certifications.
