Job Summary

The Project Coordinator manages the activities and resources for small to medium complexity projects. Collaborates with all relevant stakeholders on the development and implementation of strategic business solutions through research, audit, and analysis of data and/or business processes. Work spans a broad array of projects, and focuses on improving and sustaining Baylor Scott & White Health's (BSWH) technology structures, processes, and outcomes. Ensures projects are completed on schedule, on budget, to scope, and within quality standards of BSWH. Uses modern tools such as AI to automate and scale processes.

Essential Functions of the Role

  • Utilizes modern technology including AI to automate and scale team processes and create efficiency for the team.

  • Leads day-to-day management of operations and projects including managing scope, schedule, budget and quality.

  • Develops and manages project plans and time/cost projections, recommending and implementing changes as appropriate.

  • Prepare reports, analyses, budget reconciliation, expense reports, and department documents and maintain accurate recordkeeping including distribution lists.

  • Develop and implement record-keeping procedures for confidential data and artifacts.

  • Collaborate with stakeholders to maintain scope, cost, schedule, and quality and provide accurate and timely information in a customer centric manner.

  • Identifies dependencies and risks and ensures mitigation plans.

  • Coordinates and facilitates meetings including managing team travel arrangements and calendars and documents outputs.

  • Informs stakeholders of key activities and progress.

  • Ensures project quality control and accurate and timely outputs.

Key Success Factors

  • Knowledge of AI tools such as Claude

  • Knowledge of project management processes and tools.

  • Knowledge of healthcare, IT, and business operations.

  • Strong verbal, written, and interpersonal communication skills.

  • Ability to manage objectives, risks, resources, and reporting.

Minimum Requirements

  • Education: Bachelor's or 4 years of work experience above minimum qualification

  • Experience: 1 year
