Seasonal Human Resources Coordinator Position Overview

The Seasonal HR Coordinator supports high-volume seasonal hiring and onboarding activities across multiple locations for Snow season activities (September-April). This role coordinates onboarding, processes new hires and rehires, maintains personnel records, supports compliance activities, and serves as a key resource for employees and managers throughout the seasonal employment lifecycle. Regular evening, night, weekend, and holiday work is required to support operational schedules, peak hiring volume, and a workforce that operates across multiple shifts. The ideal candidate is highly organized, detail-oriented, and able to manage multiple priorities in a fast-paced environment.

Seasonal Human Resources Coordinator Responsibilities

  • Coordinate onboarding activities for seasonal new hires and rehires.

  • Process employee transactions in ADP Workforce Now and related HR systems.

  • Review onboarding documentation for completeness and accuracy.

  • Verify and process Form I-9 employment eligibility documents and E-Verify cases.

  • Maintain employee personnel files and HR records in accordance with company policies and legal requirements.

  • Manage hiring pipelines, onboarding trackers, and recruitment-related data.

  • Assist with employee communication regarding onboarding tasks, payroll setup, tax forms, and benefits eligibility.

  • Audit employee records to ensure compliance with company standards and federal, state, and local regulations.

  • Provide administrative support for employee status changes, pay rate changes, transfers, and rehires.

  • Participate in seasonal staffing meetings and provide updates on hiring and onboarding progress.

  • Support managers and operational leaders with employee documentation and onboarding inquiries.

  • Provide onboarding and employee support during evenings, nights, weekends, and holidays as required by business needs.

  • Maintain confidentiality of employee information and company records.

  • Other duties needed to help drive our vision, fulfill our mission and abide by our organizational values

Human Resources Coordinator Requirements

  • Bilingual in Spanish a plus

  • Associate degree in Human Resources, Business Administration, or a related field preferred.

  • One to three years of HR, recruiting, onboarding, administrative, or customer service experience preferred.

  • Experience with high-volume hiring or customer service environments preferred.

  • Experience using HRIS systems, preferably ADP Workforce Now, is preferred.

  • Strong attention to detail and accuracy.

  • Excellent organizational and time-management skills.

  • Ability to handle confidential information with discretion.

  • Effective verbal and written communication skills.

  • Strong customer-service mindset when interacting with employees and managers.

  • Ability to prioritize competing deadlines in a fast-paced seasonal environment.

  • Proficiency with Microsoft Office Suite, including Outlook, Excel, Word, Teams, and SharePoint.

  • Ability to work independently while collaborating effectively with team members across multiple locations.

  • Must be willing and able to work evenings, nights, weekends, and holidays as business needs dictate.
