Position Summary: IDEAYA Biosciences is seeking a highly organized, proactive, business-minded Executive Assistant & Operations Manager to support the Chief Commercial Officer (CCO) and the growing Commercial organization. This is a unique hybrid role combining responsibilities of both executive support and commercial business operations. The successful candidate will serve as a trusted partner to the CCO, ensuring efficient management of executive priorities while also driving operational excellence across the Commercial organization. The role represents an outstanding opportunity to grow with the organization and potentially expand into other functional responsibilities in the future. The ideal candidate is expected to thrive in a fast-paced biotech environment, anticipate needs before they arise, manage multiple priorities with discretion and professionalism, and initiate process improvement that help teams operate more effectively. This position is based in our South San Francisco headquarter offices and required to be onsite four days per week per our company policy. Reporting to: Chief Commercial Officer Job Description What you’ll do: Executive Support (approximately 50%) Manage the Chief Commercial Officer's complex calendar, balancing internal priorities, external meetings, investor interactions, travel, and shifting business demands. Coordinate domestic and international travel, including detailed itineraries, logistics, and expense reporting. Prepare meeting materials, agendas, and briefing documents for internal leadership meetings, Board interactions, and external engagements. Coordinate Commercial Leadership Team meeting logistics, including agenda development, action-item tracking, and follow-up. Manage confidential communications and sensitive information with the highest level of professionalism and discretion. Prioritize competing requests while proactively identifying scheduling conflicts and recommending solutions. Serve as a primary point of contact for internal and external stakeholders interacting with the CCO. Provide support to the broader Commercial leadership, including with team meetings, off-sites, town halls, and organizational communications. Assist with onboarding activities for new Commercial team members. Commercial Operations (approximately 50%) Partner with the CCO to drive execution of Commercial priorities and improve organizational effectiveness. Support coordination of annual planning activities, leadership off-sites, budget planning, and key Commercial operating rhythms. Manage project plans, timelines, deliverables, and follow-up for cross-functional Commercial initiatives. Track key action items across Commercial Leadership Team meetings and ensure timely completion. Develop and maintain dashboards, reports, and organizational trackers supporting Commercial objectives. Coordinate vendor onboarding, purchase orders, contracts, and invoice tracking from the commercial team in partnership with Finance, Legal, and Procurement. Support Commercial budget management, including tracking spending against plan. Identify opportunities to streamline processes, improve workflows, and implement operational best practices. Partner closely with Commercial leaders and cross-functional teams including Medical Affairs, Clinical Development, Finance, Legal, Human Resources, and Investor Relations to facilitate effective communication and execution. Support planning and logistics for major Commercial events, advisory boards, conferences, and internal meetings. Requirements: Bachelor's degree or equivalent experience. 7+ years supporting senior executives, including experience supporting C-level leadership. Experience working within biotechnology, pharmaceuticals, healthcare, or other highly regulated industries. Demonstrated experience coordinating projects or business operations in addition to executive support responsibilities. Exceptional organizational and project management skills with strong attention to detail. Outstanding written and verbal communication skills. Advanced proficiency with Microsoft Office (PowerPoint, Excel, Outlook, Word) and collaboration tools including Microsoft Teams and SharePoint. Proven ability to manage multiple priorities while maintaining a high degree of accuracy and confidentiality. Strong judgment, professionalism, and ability to exercise discretion with sensitive information. Experience supporting Commercial, Medical Affairs, or Corporate leadership within the biotechnology or pharmaceutical industry. Experience with budget tracking, vendor management, or project management. Familiarity with ERP, procurement, or project management systems. The final salary offered to a successful candidate will depend on several factors that may include but are not limited to the office location where this open position is located, the final candidates’ experience within their profession, experience in the disease areas we are striving to make an impact in as a company, length of time within the industry, educational background, and performance during the interview process.
