Legal Assistance Program Assistant

STARTING SALARY : $44,757

JOB SUMMARY:The Legal Assistance Program Assistant works under the direction of the LegalSystems Administrator, and works with the Legal Assistance ProgramAdministrators assisting with bill payments, case management,approvals/disapprovals and providing general program clerical and administrativesupport. Minimum of one-year satisfactory service at Grade 2 is required formovement to Grade 3. Movement to Grade 3 before 2 years completion at Grade2 is at discretion of General Counsel.

ESSENTIAL JOB FUNCTIONS:1. Provides clerical and administrative support in processing ofapprovals/disapprovals of legal assistance applications for contractarbitrations, disciplines and court litigation.2. Provides clerical and administrative support in processing and paymentof all administrative fees incurred by program, including AAA, PERB andCounty Department of Labor administrative fees.3. Provides clerical and administrative support in processing and paymentof the program costs, i.e., transcripts to witness fees.4. Provides clerical and administrative support for processing of allservice provider billings (attorneys, arbitrators) ensuring that properfees have been billed pursuant to LAP fee schedule and guidelines.5. Provides clerical support for all correspondence and report productionfor LAP Administrators, including Legal Services Plan.6. Handles inquiries from arbitrators, regional attorneys, administrativeagencies and staff regarding fee processing and guidelines.7. Provides follow-up support regarding all field reports/legal assistanceapplications.8. Handles all telephone calls/correspondence regarding programprocedures, case status and billing inquiries including dealing withmembers, attorneys and arbitrators regarding program procedures andpolicies.9. Any other duties as are required by the program and assigned by theLAP Administrators or the Legal Systems Administrator.MININUM QUALIFICATIONS:High School diploma.Demonstrated ability to handle numerous matters at one time; work in highvolume atmosphere with efficiency, accuracy and persistence.Demonstrated ability to handle people over telephone and to impart accurateinformation and to provide efficient and accurate follow-through with all inquiries.Demonstrated familiarity with terminology related to grievances and disciplinariesin employment context.Ability to work efficiently on pc applications, copier, fax, printer, scanner, multilinetelephone and other standard office equipment.Demonstrated willingness to take on responsibility as necessary.Accuracy, precision, and attention to detail are essential.
