Full job description

Position Summary

The Temporary Office Assistant provides front office and administrative support to ensure the efficient operation of agency programs and services. This position serves as a first point of contact for clients and community members, assists with application processing, and performs general clerical duties in support of agency staff and operations.

Schedule : Monday - Friday

8AM - 4:30PM

Pay : $18/hr

Essential Duties and Responsibilities

  • Answer incoming telephone calls and route calls to appropriate staff members.

  • Greet clients, visitors, and community members in a professional and courteous manner.

  • Receive, review, and process program applications to ensure forms are complete and required documentation is provided.

  • Verify income documentation and other personal records in accordance with program requirements.

  • Make copies, scan documents, and maintain accurate records.

  • File and organize client and program documentation in accordance with agency policies and confidentiality requirements.

  • Retrieve incoming mail and distribute correspondence to appropriate staff members.

  • Assist staff with general administrative and clerical tasks.

  • Maintain confidentiality of client information and agency records.

  • Perform other duties as assigned.

Knowledge, Skills, and Abilities

  • Strong customer service and communication skills.

  • Ability to interact professionally with clients, staff, and community partners.

  • Basic computer skills, including Microsoft Office applications and email.

  • Ability to review documents for completeness and accuracy.

  • Strong organizational skills and attention to detail.

  • Ability to handle confidential information with discretion.

  • Ability to prioritize tasks and work independently in a fast-paced environment.

Minimum Qualifications

  • High school diploma or GED required.

  • Previous administrative, clerical, customer service, or office experience preferred.

  • Experience working with the public and handling confidential information preferred.

Physical Requirements

  • Ability to sit, stand, walk, bend, and lift up to 20 pounds occasionally.

  • Ability to use standard office equipment, including computers, telephones, copiers, and scanners.
