Job Summary

The University of Michigan Marsal Family School of Education is seeking an Administrative Assistant for our Learning, Equity, Problem Solving for the Public Good (LEAPS) undergraduate program. You will provide administrative, operational, and student support for the LEAPS living-learning community. You will be supervised by Barry Fishman , LEAPS Department Chair.

The work of this role takes place primarily on the Marygrove Campus in Detroit with occasional meetings in Ann Arbor.

Responsibilities*

  • First point of contact for the LEAPS program at Marygrove

  • Provide coverage at the front desk of the LEAPS academic space and be a welcoming presence

  • Answer phone calls and respond to student inquiries

  • Transportation Management

  • Schedule buses, negotiate with transportation providers, research and recommend transportation options for travel to/from Ann Arbor and to locations around Detroit

  • Coordinate student use of other transportation options, including Lyft and ZipCar

  • Community Building

  • Coordinate co-curricular activities for members of the LEAPS living-learning community

  • Provide support to housing staff and operations at Marygrove as needed to support LEAPS events (in coordination with Marsal staff)

  • Office Management and Course Support

  • Receive and distribute packages, mail and other deliveries

  • Supervise student employees: Manage student worker schedules and task assignments, and review/approve payroll to ensure accurate and timely processing

  • Provide support for hosting at meetings or special events, including arranging food, supplies, and day-of logistics

  • Handle reimbursements and payment processing in accordance with university procedures

  • Submit maintenance requests

  • Help maintain the physical appearance of LEAPS facilities, e.g., bulletin boards

  • Managing room scheduling, digital signage, parking passes, and key access coordination with campus security

  • Keep inventory of office supplies and order course related supplies in a timely manner

  • Meeting attendance and support: attend and contribute to planning and coordination meetings, keep records through minutes and coordinate action items

  • Coordinating with offices at Marsal, including HR, Communications, Admissions and Recruitment, and Student Affairs

  • Provide support for summer or other special non-LEAPS uses of Marsal and Housing spaces at Marygrove

  • Attend Marsal Staff meetings virtually or in person

  • Other responsibilities as assigned

Required Qualifications*

  • High School Diploma or equivalent

  • 2+ years experience in an administrative setting

  • Excellent written, verbal and interpersonal skills

  • Ability to handle a variety of tasks, set priorities, and meet deadlines

  • Ability to interact and communicate effectively with faculty and staff

  • Strong proficiency in the use of computers, including Microsoft and Google applications

Modes of Work

Positions that are eligible for hybrid or mobile/remote work mode are at the discretion of the hiring department. Work Schedule

Onsite, Typical hours are 8:30am-5:30pm with some flexibility. M-F. Flex time possible in exchange for occasional evening or weekend needs.

Work Locations

At Marygrove in Detroit with occasional time in Ann Arbor.

Background Screening
