About the Role

We are on a mission to build a world-class team that drives innovation, growth, and excellence. As we scale rapidly, we’re looking for an entry-level Fleet Maintenance Coordinator to join our Operations team and oversee the upkeep, performance, and presentation of our national fleet. In this role, you’ll be the operational backbone ensuring our vehicles are safe, compliant, cost-efficient, and brand-perfect—keeping Clutch on the road and looking sharp. You’ll work closely with field operations, vendors, and leadership to coordinate preventative maintenance, track repairs, and plan for future fleet growth.

What You’ll Do

  • Coordinate preventative maintenance and repairs with field operations teams and external vendors across all operating markets.

  • Monitor upcoming service requirements and ensure maintenance activities are completed on schedule to maximize fleet uptime and minimize operational disruption.

  • Track open repairs and proactively follow up with vendors on repair status, estimated completion times, and service quality.

  • Maintain strong working relationships with vendors while holding them accountable to agreed-upon timelines and service expectations.

  • Coordinate urgent breakdown responses by troubleshooting and sourcing rapid solutions to keep the fleet moving.

  • Maintain the fleet's appearance to ensure assets reflect Clutch’s brand standards.

  • Maintain accurate and up-to-date statuses and records of vehicles, maintenance and repairs, and compliance docs within internal systems.

  • Support compliance activities by maintaining inspection, licensing, and regulatory documentation, and tracking upcoming renewal requirements.

  • Assist with inventory management, including receiving deliveries, tracking supplies, and maintaining inventories for safety and fleet-related equipment. What we're looking for:

  • 1-2+ years of experience in service coordination, vendor management, customer service, or administrative support.

  • Experience working in transportation, fleet, automotive, or maintenance environments is considered an asset.

  • Highly detail-oriented with excellent organizational and administrative skills; capable of managing multiple priorities and competing deadlines.

  • Strong communication and interpersonal skills with the ability to build relationships and collaborate effectively with vendors, field teams, and internal stakeholders.

  • Self-motivated with a proactive approach to identifying issues and driving them through to resolution.

  • Comfortable working in a fast-paced, high-growth environment with the ability to learn new systems and processes quickly.

  • Familiarity with maintenance management software, fleet management systems, or transportation management systems is considered an asset.
