Project Coordinator
Job Description
Objective
The Project Coordinator supports the Operations team in the planning, coordination, documentation, and execution of capital projects, facility improvements, maintenance initiatives, and other operational programs. This position works closely with project managers, facilities personnel, contractors, consultants, vendors, procurement, finance, and internal stakeholders to help ensure projects are organized, properly documented, completed on schedule, and delivered in accordance with established requirements. The Project Coordinator is responsible for maintaining project records, tracking schedules and action items, coordinating meetings, and preparing project documentation.
Essential Functions

Coordinate and support the planning, execution, and closeout of capital projects, maintenance initiatives, facility improvements, and other operational projects to ensure work is completed on schedule and in accordance with organizational objectives.

Prepare, review, and maintain project documentation, including scopes of work, contracts, purchase requests, meeting minutes, schedules, reports, and other project records, ensuring accuracy, completeness, and compliance with departmental standards.

Monitor project schedules, budgets, procurement activities, action items, and deliverables by proactively tracking progress, identifying potential risks or delays, and following up with project stakeholders to ensure timely completion.

Coordinate and communicate with internal departments, contractors, consultants, vendors, and other stakeholders.

Maintain organized project files, tracking systems, dashboards, and reporting tools while providing timely project updates and recommendations to Operations leadership.

Perform other duties as assigned in support of the Operations Department, demonstrating professionalism, sound judgment, attention to detail, and a commitment to continuous improvement.
Essential Knowledge, Skills & Abilities

Strong organizational, time management, and project coordination skills with the ability to manage multiple priorities, meet deadlines, and adapt to changing operational needs.

Excellent written and verbal communication skills, with the ability to prepare accurate, professional documentation and effectively communicate with internal stakeholders, contractors, consultants, and vendors.

Strong analytical and problem-solving abilities, including the capacity to identify risks, recommend solutions, exercise sound judgment, and proactively resolve issues.

High level of attention to detail and accountability, with the ability to produce accurate work, maintain organized records, protect confidential information, and independently follow assignments through completion.

Proficiency in Microsoft Office Suite and the ability to learn and effectively utilize project management, document management, and work order systems to support operational activities
Qualifications

Strong proficiency in Microsoft Office applications.

Demonstrated ability to produce accurate and professional written work

Must have own transportation

Class “D” drivers license preferred
Work Environment/Physical Demands
-
Work is performed primarily in a professional office environment, with regular visits to construction, maintenance, warehouse, utility, mechanical, and other operational areas.

Site visits may require walking or standing for extended periods, climbing stairs, navigating uneven surfaces, and entering active construction or maintenance areas.

The employee may be exposed to noise, dust, heat, humidity, construction activity, mechanical equipment, and varying weather conditions during site visits.

Extended periods in warehouses, containers, storage facilities, etc.
Hours and Travel
-
Typical work schedule is Monday – Friday 8am – 4pm

Travel could be to any of University sites in Grenada – Woodlands, University Club, Animal Clinics, Mt. Hartman, GDIC Frequente
