We are looking for a Chief of Staff for AI Resilience: a high-agency, AI-native operator who can translate priorities into execution, create clarity from ambiguity, and help a small team move dramatically faster without adding bureaucracy.

This person owns the operating and coordination layer for AI Resilience. You will support the team’s planning cadence, maintain visibility across grants, projects, hiring, advisors, and collaborators, prepare leadership and board materials, and turn messy operational problems into clear next steps. The right person combines strategic judgment with hands-on execution and uses AI agents, automation, and lightweight internal tools to multiply the team’s operating capacity.

Responsibilities

  • Build and run AI Resilience’s operating cadence, including planning rhythms, weekly updates, meeting agendas, decision logs, follow-up systems, working docs, and cross-workstream coordination; create clear, polished presentations and briefing materials for leadership and the board.
  • Maintain clear visibility across grants, projects, and special-project opportunities, tracking owners, next steps, blockers, dependencies, diligence status, finance/legal handoffs, and decision dates.
  • Keep hiring and capacity-building processes moving by maintaining candidate, advisor, fellow, and collaborator trackers, surfacing blockers, clarifying handoffs, and helping owners stay on top of next steps and decisions.
  • Create onboarding and context systems for new hires, contractors, advisors, and collaborators, including onboarding packets, context maps, access checklists, reading lists, handoff processes, and shared materials.
  • Build and maintain AI-native systems of work: rapidly prototype (“vibe code”) lightweight tools for tracking, operations, synthesis, and coordination; deploy and manage a growing set of AI agents; and keep sources of truth organized, current, and easy to navigate across Google Drive, docs, trackers, templates, onboarding materials, and recurring artifacts.
  • Partner with EBPs, operations, finance, legal, recruiting, comms, and program leads to clarify handoffs, unblock work, and make escalation paths clear.
  • Own scoped operating projects that need a reliable operator, from standing up a new process to coordinating diligence logistics, mapping stakeholders, or turning a messy operating problem into a clear recommendation. Skillset
  • Have 8+ years or equivalent experience in a chief of staff, special projects, program operations, business operations, project management, startup operations, grantmaking operations, philanthropy, nonprofit, research operations, or similar role.
  • Have built trackers, processes, templates, operating rhythms, onboarding materials, or source-of-truth systems for fast-moving teams.
  • Are exceptionally organized, detail-oriented, and calm under ambiguity.
  • Can turn wide-ranging discussions into clear briefs, board-ready presentations, trackers, emails, recommendations, and next steps.
  • Use discretion and good judgment with sensitive candidate, board, grant, advisor, and internal strategy context.
  • Are AI-native: you use advanced AI tools as a default part of your work, can rapidly prototype (“vibe code”) lightweight systems for tracking and operations, and know how to orchestrate AI agents reliably with appropriate human judgment.
  • Are energized by both systems-building and hands-on follow-through.
  • Have strong interpersonal instincts: warm, direct, service-oriented, and able to work with senior leaders, program leads, candidates, advisors, contractors, and grantees.
