Neo Security is hiring an Operations Manager to keep our Boston office and day-to-day company operations running smoothly. Based full-time in our Boston, MA office, you'll own office management, vendor and facilities relationships, internal tools and processes, and cross-functional operational projects that help the company scale efficiently. You'll work closely with People, Finance, IT, and the leadership team, acting as the person who makes sure the details behind a growing company are handled well.

This role suits a highly organized, resourceful generalist who enjoys variety, takes ownership of problems without being asked, and wants to build the operational backbone of a fast-growing security company from the ground up.

What You'll Do

  • Own day-to-day office management for the Boston office, including facilities, supplies, vendor relationships, and workplace experience.

  • Manage relationships with building management, landlords, and office vendors, negotiating contracts and resolving issues as they arise.

  • Plan and execute internal events, offsites, and team celebrations, coordinating logistics, catering, and vendors.

  • Own and improve internal operational processes and tools (e.g., expense management, equipment provisioning, office systems), identifying opportunities to increase efficiency as the company scales.

  • Support new hire onboarding logistics, including workspace setup, equipment procurement, and first-week office experience.

  • Partner with People/HR on office policies, employee experience initiatives, and culture-building activities.

  • Partner with Finance on office-related budgeting, vendor invoicing, and expense tracking.

  • Coordinate with IT on office technology needs, including equipment ordering, setup, and troubleshooting basic issues.

  • Serve as the primary point of contact for office-related questions and issues from employees and visitors.

  • Lead or support cross-functional operational projects as needed, from process documentation to ad hoc initiatives requested by leadership.

  • Ensure the office is a safe, welcoming, and well-run environment, including managing security/access procedures for the space.

Requirements

  • 4+ years of experience in office management, operations, or a related generalist role, ideally at a startup or fast-growing company.

  • Strong organizational skills and proven ability to manage multiple projects and vendors simultaneously without dropping details.

  • Comfortable negotiating with and managing vendors, contractors, and building management.

  • Excellent communication skills and a service-oriented mindset, with the ability to work well with employees and leadership at all levels.

  • Proven ability to identify and implement process improvements without needing significant oversight.

  • Proficiency with standard productivity tools (e.g., Google Workspace or Microsoft 365, Slack) and comfort learning new internal tools.

  • A hands-on, no-task-too-small attitude, paired with the judgment to prioritize and escalate appropriately.

  • Based in or able to relocate to the Boston, MA area, and available to work in-office full-time.

Nice to Haves

  • Experience opening or standing up a new office space, including build-out or move logistics.

  • Experience supporting People/HR functions such as onboarding, benefits administration, or culture programs.

  • Familiarity with basic bookkeeping, expense management, or procurement tools (e.g., Expensify, Bill.com, Ramp).

  • Experience in cybersecurity, technology, or another fast-paced technical industry.

  • Project management experience or certification (e.g., PMP), or comfort using project tracking tools (e.g., Asana, Notion).

  • Interest in growing into a broader Operations, People, or Chief of Staff role as the company scales.
