Part-Time Front Desk Receptionist

Department: Administration

Reports To: Administrator / Office Manager

Position Type: Part-Time

Position Summary

This Part Time position is Monday - Friday 2pm - 7pm

The Front Desk Receptionist serves as the first point of contact for residents, families, visitors, vendors, and other guests entering the facility. This position is responsible for providing a welcoming and professional environment while managing incoming telephone calls, assisting visitors, performing general clerical duties, and supporting the day-to-day administrative operations of the facility.

The ideal candidate is friendly, dependable, organized, professional, and comfortable interacting with residents, families, staff, and the public in a healthcare environment.

Essential Duties and Responsibilities

  • Greet residents, families, visitors, vendors, and other guests in a friendly and professional manner.

  • Answer, screen, and direct incoming telephone calls to the appropriate department or staff member.

  • Assist visitors with directions and general facility information.

  • Follow facility procedures for visitor sign-in, identification, and access to resident areas.

  • Maintain a neat, organized, and professional front desk and lobby area.

  • Receive and distribute mail, packages, deliveries, and other correspondence.

  • Provide basic clerical and administrative support, including filing, copying, scanning, faxing, and data entry as assigned.

  • Assist with resident and family inquiries and direct concerns to the appropriate department or supervisor.

  • Communicate effectively with nursing, administration, social services, admissions, and other departments as needed.

  • Maintain resident, employee, and facility information in a confidential manner in accordance with HIPAA and facility policies.

  • Assist with emergency communication procedures and announcements as directed.

  • Monitor individuals entering and exiting the facility in accordance with facility policies and safety procedures.

  • Maintain appropriate documentation, logs, and front desk records as assigned.

  • Demonstrate patience, courtesy, and professionalism when interacting with residents, including individuals who may be confused, anxious, or require additional assistance.

  • Report unusual situations, safety concerns, resident concerns, or emergencies promptly to the appropriate staff member.

  • Perform additional administrative and receptionist duties as assigned.

Qualifications

  • High school diploma or equivalent required.

  • Previous receptionist, customer service, office, or healthcare experience preferred.

  • Experience in a skilled nursing facility, assisted living facility, hospital, or other healthcare setting is a plus.

  • Strong customer service and interpersonal skills.

  • Professional telephone etiquette and communication skills.

  • Basic computer skills and ability to use email and standard office programs.

  • Ability to maintain confidentiality and handle sensitive information appropriately.

  • Ability to multitask and remain professional in a busy healthcare environment.

  • Dependable, punctual, and able to work independently with appropriate supervision.

Physical Requirements

  • Ability to sit or stand for extended periods.

  • Ability to use a computer, telephone, and standard office equipment.

  • Ability to communicate effectively with residents, visitors, and staff.

  • Ability to occasionally lift and carry light office materials and packages.

Schedule

Part-time position. Hours may include weekdays, evenings, weekends, and/or holidays based on facility needs.

The Front Desk Receptionist is expected to promote a positive image of the facility at all times and demonstrate respect, compassion, professionalism, and excellent customer service when interacting with residents, families, visitors, and coworkers.
